Job Description

Department: Project Management Office (PMO) – CDL & Hive

Reports To: Head of PMO, CDL

Job Type: Full-Time

Position Summary

As a Digital Project Manager for CDL & Hive COE, you will lead the planning, execution, and delivery of learning solutions of varying scale and complexity in collaboration with cross-functional teams including Learning Experience Designers, Art Directors, and Technology. You will be responsible for ensuring projects are delivered on time, on budget, and to the highest quality standards, while upholding the operational excellence and creative ambition of the BTS brand.

AI is part of how we work here. You will use it to automate and speed up everyday project tasks, and you will help your teams find new ways to do the same.

Since this role serves both the CDL and Hive teams, depending on the project and team, you will either be working with external client partners or internal stakeholders and SMEs. For ease of this document, both groups of stakeholders will be referred to as “clients”.

Key Responsibilities

  1. Sales Support
  • Support BTS Account Managers on proposals, including scoping, timelines, effort estimates, and quoting and pricing for new work and change requests
  • Help create sales support collateral
  • Lead or support demos and walk-throughs for prospective clients
  • Keep pipeline and dashboard information current for opportunities you are involved in
  • Follow up on open opportunities so nothing falls through the cracks
  1. Project Initiation & Planning
  • Set up new projects using standardized processes
  • Create and manage the project workspace, dashboards, and communication channels (e.g., Slack)
  • Develop and maintain detailed and high-level project plans using templates and linking functionality
  • Lead project team and client-facing kick-off meetings with clearly defined agendas, goals, and next steps
  1. Stakeholder & Client Communication
  • Serve as the main point of contact for project communication between project teams and client stakeholders
  • Establish communication plans and cadence (e.g., weekly status meetings, milestone reviews)
  • Provide regular updates to clients, ensuring alignment on scope, schedule, and deliverables
  1. Project Execution & Oversight
  • Manage all phases of the production lifecycle: Concept & Design, Scripting, Media Development, Testing, and Launch
  • Use collaboration tools to track tasks, budgets, resources, and dependencies
  • Collaborate with functional leads to ensure staffing and resourcing accuracy
  • Coordinate with other internal teams at BTS
  • Partner with BTS Digital and Technology teams (e.g., IST, Pulse) to document platform requirements, hosting and deployment needs, and route technical escalations
  • Coordinate translation and localization work with internal and vendor partners as needed
  • Find and pilot ways to automate project tasks with AI, and share what works across the PMO
  • Delegate work to the Digital Project Coordinator and support their development
  1. Budget & Financial Management
  • Translate contract values into internal budgets (including currency conversions and fee categorization)
  • Update project financials within tracking systems
  • Track scope changes and coordinate change requests or new SOWs as needed
  • Maintain project financial and portfolio data used for leadership reporting
  1. Quality Assurance & Risk Management
  • Identify project risks early and manage resolution plans proactively
  • Ensure version control and file management procedures are followed on platforms
  • Facilitate internal quality reviews and ensure deliverables meet client expectations and BTS standards
  1. Project Closure
  • Conduct internal and external Lessons Learned sessions using standardized templates
  • Ensure project files are finalized and properly archived
  • Coordinate client surveys, case study development, and final updates

Required Skills & Competencies

  • Natural curiosity about AI, in both work and personal life, and a habit of trying new tools on your own just because they interest you
  • Interest in using AI and automation to improve how projects get run, such as drafting summaries, cleaning up data, or speeding up repetitive tasks. You check the results and help your team adopt what works.
  • Strong project planning, organizational, and time management skills
  • Ability to manage multiple projects simultaneously and meet tight deadlines
  • High level of attention to detail and comfort with digital tools
  • Excellent interpersonal and communication skills, both written and verbal
  • Client-facing professionalism and the ability to synthesize and escalate issues clearly
  • Collaborative mindset with the ability to work cross-functionally across global teams
  • Comfort operating with a degree of ambiguity, including new or evolving processes

Qualifications

  • Minimum 3 years of experience in project management, coordination, or delivery in a learning, digital, or client-service setting
  • Familiarity with eLearning production processes and tools (Articulate Rise/Storyline, LMS, video workflows, BTS digital learning platforms) is an asset
  • PMP, PRINCE2, or Agile certification (or equivalent experience) is a plus
  • Based in North America
