Job Description

The Digital Equipment Coordinator supports the Digital Equipment Manager in the daily operations of Smashbox Studios’ digital department. This role ensures equipment readiness, maintains accurate inventory tracking, and delivers exceptional service to both studio and location clients.

The ideal candidate is detail-oriented, technically curious, highly organized, and thrives in a fast-paced production environment. This position is hands-on, operationally focused, and client-facing — serving as a key partner in maintaining seamless digital workflows and a premium rental experience.

Responsibilities:

Digital Operations & Equipment Management

• Prepare, test, clean, and quality-check digital equipment prior to delivery or pickup

• Support equipment check-in and check-out processes, documenting usage, condition, and damages

• Maintain accurate inventory records within company billing and rental software

• Track rental availability and update the digital rental calendar

• Coordinate internal and external equipment repairs, monitoring turnaround timelines

• Support sub-rental logistics, including driving to pickups, driving to returns, and condition verification of equipment

Client & Studio Support

• Provide first-level technical support for studio and location clients

• Answer basic workflow and equipment questions, escalating complex issues as needed

• Assist with order processing, pulling gear lists, and confirming equipment availability

• Support on-site digital needs when required, ensuring smooth setup and breakdown

• Maintain a professional, client-focused presence in all studio interactions

Administrative & Reporting Support

• Generate rental paperwork, process orders, and maintain job documentation

• Review packing lists and vendor invoices for accuracy prior to coordinator approval

• Track KPIs, rental trends, and equipment utilization date

• Maintain organized digital and physical records of equipment, repairs, and vendor documentation

Department Support & Growth

• Stay informed on emerging digital capture technologies and rental trends

• Participate in ongoing technical training

• Support internal staff training by reinforcing standard workflows and troubleshooting basics

• Identify opportunities to improve organization, efficiency, and workflow systems

Skills & Competencies

• Exceptional organizational skills and attention to detail

• Technical aptitude and interest in photography, motion, and digital capture workflows

• Ability to follow established systems while adapting to fast-paced production demand

• Clear communicator with a professional, service-oriented mindset

• Solutions-focused and calm under pressure

• Comfortable working hands-on with professional digital equipment

• Eagerness to grow into greater technical and operational responsibility

• Valid driver’s license and clean driving record

Requirements

• 1–3 years of experience in a rental house, photo studio, production environment, or digital tech support role

• Requires a valid state driver's license and must have a safe driving record (no more than 2 minor moving violations in the past 3 years).

• Familiarity with professional camera systems, capture software, and digital workflow fundamentals

• Experience with inventory or rental management systems is a plus

• Prior experience in service-oriented roles

• Strong interpersonal and communication skills

Benefits

The anticipated salary range for this role is $21-$23 per hour. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience, and skills relative to the defined job requirements.
