Context & Environment

Eurovat, a subsidiary of TotalEnergies, provides tax recovery assistance services to international road transport companies across Europe, enabling them to focus on their core business. The company operates in a highly competitive, international, and fast‑evolving environment, managing significant financial and information flows on a daily basis. Activities take place in a multi‑currency and multi‑legislation context, requiring agility and regulatory awareness. Teams are multicultural and spread across two sites (France (EUROVAT) and Poland (WIVAT) ), with strong proximity and collaboration between departments to best serve a diverse international client base.

Role: over 160,000 invoices processed annually by the Support team, within a team of 6 people (including 3 at WIVAT).

Join Eurovat & Wivat and become a key player in delivering expert VAT refund services to international clients in a dynamic and regulated environment.

Your activities:

=> TASKS RELATED TO DATA :

• Enter details of fuel top-ups corresponding to invoices into the internal EUROVAT software, based on the list of clients assigned to Support;
• Import details of fuel top-ups shared by customers from fuel supplier customer areas, and improve/develop the possibilities.

=> TASKS RELATED TO DOCUMENTATION :

• Analyse, control and sort the customer documents (vehicle registration certificate, transport licence, etc.) according to the various requirements of customs.
• Carry out a consistency check, detect and report any anomalies in the processed documents, in order to minimise the entry if incorrect data and continuously improve processing rules;
• Throughout the processes, interact with EUROVAT and WIVAT customer Advisors in charge of Excise Duties recovery claims, to optimize overall Eurovat performance and ensure deadlines are met;

=> CONTINUOUS IMPROVEMENT

• Test and identify pragmatic solutions to automate tasks in the areas of data input and document reading (fuel top-ups, vehicle registration certificates, ...) with the help of AI.
  
• Explore with customers the possibilities to extend the scope of data import, to minimize manual work;
• Actively contribute to IT projects to improve or transform EUROVAT internal software

=> OTHER ACTIVITIES IN SUPPORT OF OPERATIONAL TASKS

• Occasionally contribute to the daily tasks of Administrative Assistants to enter invoices Internal Eurovat software;
  
• Allocate funds received from tax/customs authorities and clients to the corresponding files/invoices
• Provide support to WIVAT in accordance with the defined internal schedule : daily sorting of post received on behalf of WIVAT's CC/CTs, scanning of received documents, emailing information to the recipient CC/CTs and, where necessary, forwarding these documents to WIVAT...
• Participate in the rotation of daily tasks in accordance with th on-call rota difined by the Head of Support

Candidate Profile

📚 Education: two years of further education

🖥️ Technical skills: Strong affinity with IT tools and data management, Analytical mind and attention to detail

👉 Soft skills: Good organisation skills, ability to work effectively in a team environment, and willingness to support and train colleagues.

🌍 Languages: Professional proficiency in English (C1) and French (B1). Polish is appreciated.
