STATUS: Permanent; Full-Time

About the Opportunity:
As part of the Will & Estate Gifts team, the Development Coordinator is responsible for the day-to-day administration of a portfolio of Home Beyond Ours (HBOurs) members and prospects with a goal of ensuring timely enrollment, supporting animal intake and ongoing stewardship, while maintaining high ethical standards and protecting the best interest of the BC SPCA. Within their portfolio, the role is also responsible for account reconciliation, reporting, documentation and correspondence in accordance with policies and standard practices. Additionally, they contribute to team responsibilities around estate and planned gift administration, team administration and responding to donor and professional inquiries.
A day in this role might include:
• Building meaningful relationships with donors, members, and professional advisors by providing responsive, compassionate support.
• Drafting a stewardship letter for annual updates.
• Reviewing estate file to ensure accurate documentation and coordinating findings with Specialist.

Key responsibilities of this role will include:

Home Beyond Ours (65%):
• Supports program development, implementation and ongoing administration of the Home Beyond Ours (HBOurs) program.
• Manages member enrolment, supports animal intakes, completes follow ups, and provides ongoing stewardship.
• Maintains existing grand parented Pet Survivor Care Program files, including ongoing updates, correspondence with members, supporting animal intakes, follow ups, and vet reimbursements (as dictated by each Plan).
• Responds to routine inquiries from members, donors, professional advisors, executors, trustees, financial institutions, and other interested parties, escalating complex matters as appropriate.
• Collaborates with Development Assistants to ensure timely responses and accurate member documentation. Ensures required documentation is received and promptly resolves discrepancies to support accurate recordkeeping, receipting, reporting, account reconciliation, and gift allocation activities.
• Supports Animal Services team with intake of animals whose guardians are HBOurs members (including assisting with staff training on HBOurs processes generally and providing documentation and background detail for specific animals).
• Provides informational presentations to Professional Advisors and donors, as required. Additionally, drafts and submits articles to appropriate target markets.
• Contributes to the development of systems to ensure efficient animal intake & management as it relates to the Home Beyond Ours program.
• Collaborates with the Annual Giving team on ongoing asset development, stewardship, and marketing.
• Supports audit, reporting, and compliance activities by providing documentation and responding to information requests as required.
• Tracks statistics and maintains accurate records and file documentation in Raiser's Edge, DocuShare, SharePoint, and other applicable systems, including pulling reports, recording actions, communications, funds received, and allocation information.

Estate and Planned Gift Administration (25%):
• Provides administrative support for the processing and administration of estate and planned gift files, ensuring documentation is complete, accurate, and maintained in accordance with established procedures, donor intentions, and applicable legal requirements.
• Liaises with the Finance team to reconcile accounts and ensure accurate realization, accounting, receipting, reporting and allocation of gifts.
• Maintains knowledge of and adheres to departmental procedures, standards, and best practices related to estate and planned gift administration.
• Assists in maintaining team manuals and standard documentation.
• Provides administrative and operational support to the Will & Estate Gifts team and contributes to special projects and process improvements as required.
• Monitors, contributes to and reports on relevant Key Performance Indicators (KPI) as appropriate.

Other duties (10%):
• Participates in regular team, department, and organizational meetings/training, as required.
• Reports regularly to the Senior Officer, and Director, Will and Estate Gifts, through scheduled and ad hoc reports.
• Commits to making the BC SPCA a provincial leader in fundraising expertise and results.
• Leads by example in professionalism and commitment to excellence.
• Develops and maintains relationships with industry peers.
• Engages in continuing education and learning as it relates to fundraising generally, will and estate gifts, and designated products specifically as it relates to their portfolio.
• Maintains awareness of tax considerations affecting estates, trusts and other charitable gifts including keeping informed about new legislation and revenue rulings affecting estate gifts.
• Engages with volunteers on a project-based basis, as needed.
• Demonstrates a commitment to BC SPCA values, work-life balance, and principles of equity, diversity, inclusion and reconciliation.
• Other duties as assigned.
Knowledge and Skill requirements:
• Post-Secondary education plus 3-6 years of combined experience in fundraising or program administration; or an equivalent combination of education and experience acceptable to the employer. Knowledge of estate administration is an asset but not required.
• Demonstrated ability to steward a portfolio of files, coordinate projects, meet competing priorities, and work within a high-volume, detail-oriented environment with minimal supervision.
• Proven initiative and ability to problem-solve by applying critical and analytical thinking.
• Experience approaching challenges with curiosity and resourcefulness, investigating discrepancies, identifying opportunities, and sharing insights to enhance records, processes, and overall team efficiency.
• Experience in gathering data, calculating metrics and performing some analysis.
• An understanding of the legalities and complexities and ideally some experience in handling confidential and sensitive records.
• Excellent written and oral communication skills. Strong ability to explain complex matters in an accessible way and write clearly structured, detail-oriented correspondence.
• Ability to work within established boundaries; able to identify when help is needed and demonstrated ability to ask for assistance when required.
• Proficient use of a fundraising CRM.
• Strong computer skills; Intermediate to advanced skills with Microsoft 365 (particularly Excel, Word, Outlook, Teams & SharePoint).
• Experience using DocuShare or other content management system.
• Commitment to continuous learning and professional development.
• Professional demeanor and presentation.
• Able to travel and do some weekend and evening work, on occasion.
• Working knowledge of concepts of equity, diversity, inclusion and reconciliation; able to relate respectfully to a diverse audience.
• Philosophical harmony with the mission, vision, values and strategic direction of the BC SPCA.

Our mission at Atira Women's Resource Society is twofold: to provide direct services to women and children fleeing violence, and to raise awareness of all forms of gendered violence through education and advocacy.

Since 1983, Atira has offered safe and supportive housing to women and children impacted by violence, as well as a range of services in Vancouver's Downtown Eastside, Burnaby, Surrey, White Rock, and Richmond.
