The Development Associate is an integral support position on the Talent Management team within the MGB Development Office. With guidance and training, the Associate supports the work of the Talent Management team by managing calendars, assisting with preparations for meetings and events, drafting documents and communications, and completing data entry, and most importantly the myriad of unplanned projects. Reporting to the Senior Director of Development, Talent Management, the Associate collaborates with colleagues to perform assigned responsibilities, including projects related to the employee life cycle for a department of over 400 employees.
Essential Functions
•Provide administrative support for the Executive Director, Senior Director and other Talent Management leadership as needed.
•Assist with coordinating logistics, drafting agendas and other materials for review, taking notes, and organizing follow-up actions for meetings, internal events, and presentations, communicating any issues as needed.
•Support UKG activities:
•Work alongside the Development Officer, Talent Management, and in their absence act as backup for UKG, Workday, and Leave of Absence inquiries; independently investigate discrepancies, coordinate with central HR and Leave Administration, and ensure accurate resolution and documentation.
•Lead all aspects of timekeeping training for non-exempt employees.
•Manage on-call UKG staff time entries.
•Partner with the Bulfinch timekeeper as needed.
•Serve as the office timekeeper and liaison with the timekeeper team.
•Provide on-site front desk coverage one day/week at Nashua Street and back up as needed for Coordinator, Development Operations.
•Responsible for onboarding calendar invitations for new staff.
•Support Professional Development activities:
•Administer professional development request forms end-to-end, including intake review, policy validation, historical tracking, survey deployment, reporting, and follow-up communication with employees and managers.
•Maintain a professional development database of memberships and conference attendance (managing conference request forms and cost information).
•Provide on-site or virtual support during training sessions (e.g., managing Zoom, materials, sign-ins).
•Collaborate with Talent Management colleagues to coordinate tasks related to recruitment initiatives and provide scheduling assistance in support of interviews as needed.
•Assist with tracking of the status of performance evaluations and merit increases and conduct outreach to managers regarding appraisal process.
•Act as a liaison between Talent Management, Operations, HR, Payroll, and affiliate partners, exercising discretion when handling sensitive personnel information. Update process guides, correspondence templates, tools, and tip sheets related to Talent Management processes.
•Working with the Senior Director and Officer, Talent Management, support department engagement activities as appropriate.
•Available to support special projects as needed.
•Monitor the MGB Development Office Talent Management inbox and triage appropriately.
•Primary back-up for Talent Management Associate, and back-up to other Talent Management and Operations colleagues, as needed.
