Job Description

Serves as the primary ambassador for the organization, managing the first impressions of all guests and callers. Beyond front-office management, this role is responsible for the creative scheduling of visitor center activations, the coordination of specialized facility tours, and providing essential administrative support to Destination Experience Area Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Welcomes guests and clients upon arrival; responds to inquiries and announces visitors according to established protocols.
  • Manage all incoming calls by answering, transferring, and directing them to the appropriate parties; takes accurate messages as required.
  • Ensures 100% coverage of the reception area and phones during business hours; maintains a tidy, presentable lobby stocked with necessary brochures, forms, and materials.
  • Stays current on all event information and emergency protocols to assist visitors and notify Security or Public Safety when necessary.
  • Maintains a lot of phones and in-person visitor interactions and provides monthly reports on these metrics.
  • Responsible for taking and processing payments from clients for services rendered by Destination El Paso.
  • Develops and maintains a comprehensive calendar of activations for the visitor center to enhance the guest experience.
  • Manages the fulfillment of all Visitor and Tourism guides, including preparing shipping labels and shipping items
  • Serves as the primary point of contact for coordinating events within the visitor center, ensuring all logistics and staffing needs are met.
  • Acts as the lead scheduler for all tours to the public coordinates docent schedules and maintains detailed records of tour attendance.
  • Ensures the Visitor Center is always clean and presentable; performs periodic inspections of bathrooms to maintain high cleanliness standards.
  • Provides clerical and administrative support to the Visitor Information offices as needed for various projects.
  • Performs other duties and special projects as assigned by the Destination Experience Area Manager.

QUALIFICATIONS

  • Extensive administrative experience is strongly preferred, to include proper phone and in person etiquette
  • Advanced oral and written communication skills
  • Strong orientation in customer service and ability to work with other staff members in the facility
  • Results oriented individual with the ability to meet requirements of position
  • Excellent organizational, planning, communication, and inter-personal skills
  • Ability and flexibility to undertake and complete multiple tasks
  • Excellent computer skills; basic math and financial skills for reporting and evaluation
  • Able to operate various computer software packages necessary to complete assignments, specifically MS office

EDUCATION AND WORK EXPERIENCE

Minimum 1 to 2 years work experience

Bilingual (English-Spanish) Preferred

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS

Examples:

  • Daily sitting, focusing on and operating a computer to enter data for aver 60 minutes at a time
  • Ability to read printed words and numbers in printed form and on computer monitor
  • Communicate by telephone for up to 30 minutes at a time daily
  • Daily lifting and carrying up to 25 lbs. up to 5 minutes at a time
  • Daily standing for up to 15 minutes at a time operating office equipment such as scanner, printer or photocopier
  • See and distinguish objects or symbols as 20 feet or more and 20 inches or less. Depth perception, peripheral vision and bringing objects into focus
  • Write using pen/pencil or computer keyboard for up to 30 minutes at a time on a daily basis.
