Job Description

The role you’ll play

As our Despatch Coordinator, you’ll be at the centre of our day-to-day operations, connecting our customer service teams, operational teams and drivers.

You’ll coordinate job allocations, monitor routes and respond quickly when plans change. Whether it’s rescheduling a missed collection, managing an overloaded bin or keeping a customer updated about a delay, you’ll use sound judgement and clear communication to find the best solution.

This is a fast-paced role where no two days are the same. Your ability to stay calm, make decisions and keep everyone informed will help us deliver a reliable and seamless service to our customers.

Key responsibilities

  • Coordinate daily job allocations and callout work.
  • Monitor rolled, rejected and delayed jobs and take prompt action.
  • Communicate with customers regarding delays, service issues and changes.
  • Review routes and assist with sequencing to improve efficiency and productivity.
  • Work closely with drivers, operations, sales and customer service teams.
  • Manage correspondence and respond within agreed service levels.
  • Complete financial confirmations and investigate pricing, disposal-rate and weight exceptions.
  • Support reporting, purchase orders, data entry, weighbridge lodgements and end-of-month activities.
  • Help achieve our delivery-in-full, on-time targets.
  • Identify opportunities to improve fuel efficiency and reduce our carbon footprint.

Qualifications

What you’ll need

You’ll be a confident communicator who enjoys solving problems and working with a wide range of people. You’ll also be comfortable managing competing demands in a busy operational environment.

Ideally, you will bring:

  • Previous customer service or coordination experience.
  • Experience in transport, logistics or a similar operational environment.
  • Strong verbal communication and interpersonal skills.
  • The ability to remain calm and resilient under pressure.
  • Excellent time-management and multitasking skills.
  • Confidence using technology and learning new systems.
  • Intermediate Microsoft Office skills, particularly Excel.
  • The ability to interpret system information and use it to improve efficiency.
  • Experience with CRM or operational systems such as Salesforce, Elemos or JDE would be an advantage.
  • Knowledge of transport regulations and logbook requirements would also be beneficial.
