About the Role

As a Design Operations Coordinator, you will set our designers up for success by ensuring they have the right conditions and growth opportunities to do their best work. You’ll support managing tools and platforms, support onboarding, collaborate with business partners, and run programs that drive engagement, consistency and visibility across the design community.

This role supports the Design Operations function to create an engaged, effective and efficient design community across ANZ.

Role Type: 8 Months Fixed Term

Role Location: 833 Collins Street, Docklands VIC 3008

Work Hours: 40 Hours (Full-time)

What will your day look like?

Performance:

• Help coordinate and plan the delivery of design initiatives and events.
• Identify and troubleshoot operational blockers that impact team efficiency.

Process:

• Support the rollout and maintenance of workflows, templates, and guides that enhance consistency across teams.
• Maintain operational resources including our Design Hub ensuring standards, governance, and documentation are up to date.
• Contribute to process improvements that drive collaboration, efficiency, and alignment.

People & Culture:

• Coordinate thoughtful onboarding experiences to set new designers up for success.
• Support recruitment processes including interview scheduling, templates, and operational best practice.
• Lead initiatives that bring people together — from learning sessions to town halls, open houses and design showcases
• Champion accessibility and inclusion across all aspects of design operations, aligned to WCAG 2.2 standards.
• Act as a key connection point between design and business partners (e.g. Risk, Procurement, Security, Finance)

Tooling & Systems:

• Manage access to core design tools including Figma, Figjam, and Adobe Creative Cloud, ensuring compliance with internal policies.
• Troubleshoot tooling and system issues, supporting improvements that enhance team workflows.
• Support research operations including tool access, participant recruitment, consent templates, and privacy protocols.

Risk & Finance:

• Help identify, assess, and mitigate operational risks across tools, processes, and team activities.
• Ensure compliance with legal, regulatory, privacy, and company policy requirements.

What will you bring?

• Experience as a Design Operations Coordinator, Team Assistant, Project Manager or Studio Manager supporting creative teams
• Communication skills and stakeholder management capability
• Exposure in managing tools and platforms, including managing relationship with vendors
• Ability to run and deliver end-to-end projects with measurable impact
• Proactive, collaborative mindset with excellent organisational skills
• Familiarity with accessibility standards and inclusive design principles
• Ability to bring people together through structured programs or events
• Calm, can-do attitude and ability to adapt in fast-paced environments
• Experience working in agency, consultancy, or enterprise teams
• Background in design, service delivery, or program coordination
• Familiarity with research ops tooling, scheduling, or participant recruitment
• Exposure to design system documentation or governance
• Tertiary qualifications in design, communication, business administration or a related field
