The Design Coordinator is responsible for assisting in the successful development and co-ordination of design documentation from design concept to building permit.

What You’ll Do

You’ll be the kind of person who:

  • Your day-to-day responsibilities will consist of the following

  • Review contract and handover documentation from Estimating

  • Creating project scope for consultant engagement and design parameters

  • Co-ordinate design drawing reviews against contract scope of works

  • Authority service applications

  • Organizing and managing service relocation applications

  • Compliance with TP pre-commencement conditions

  • Assessing RBS checklist for BP compliance

  • Raising and tracking consultant variations as required

  • Service overlays to identify any clashes

  • Creating sleeve plans on cad for site set out

  • Shop drawing review and approval

  • Preparing project handovers to alternate departments

KEY RESULT AREAS – ACCOUNTABILITIES AND MEASUREABLES

In performing the following duties, the incumbent is required to comply with quality assurance policies and procedures, and other relevant legislative requirements applicable to the Institution.

Management of Project

  • Manage and coordinate consultants and other stakeholders, including authorities

  • Define scope of works for consultants and sub-contractors

  • Review all working drawings / engineering and other documentation.

  • Manage the scope, program, budget, quality, safety and risk of the project

  • Coordinate permit applications and other relevant documentation

  • Oversee the consultants tendering process and vet quotes

  • Monitor and document scope variations as required

  • Proactive in ensuring all project deadlines are met

  • Ensure all project checklists and documentation are complete

Communication

  • Manage project communication with consultants, clients, authorities and other stakeholders as required

  • Comfortable and competent in chairing consultant meetings unsupervised and able to provide response and timelines to consultants

  • Take and distribute minutes and actions from ALL internal and external meetings

  • Maintain, track and monitor all project correspondence (EOT/RFI/Contract adjustment / documentation)

  • Populate and update collaborative workspace as required

Budget

  • Review and sign off invoices for final approval by required party

  • Prepare final accounts and organise payments for consultants

  • Accurate and timely cost tracking to ensure project in below or on budget

Quality and Compliance

  • Manage all documents and correspondence in relation to the project

  • Ensure 100 compliance with document control procedures

  • Assist and maintain WHSEQ and ISO compliance for quality

  • Interpret and comply with, building regulations and codes of practice and any other relevant legislation

Risk & Opportunity Management

  • Effectively act on identify opportunities to better a project in regards to design

  • Ensure compliance with contract PPR’s and/or design briefs

Other ad hoc duties as required by ARK Industrial from time to time.

This includes in accordance with Code of Conduct demonstrating appropriate and professional workplace behaviours, providing assistance to team member and undertaking other key responsibilities or activities as directed by one’s supervisor.

  • Perform their responsibilities in a manner which reflects and responds to continuous improvement

  • Familiarise themselves and comply with the Workplace Health and Safety policies and Management Systems.

  • Awareness and understanding of the need to maintain confidentiality and discretion in the context of various legislative requirements and ARK Industrial’s privacy policy.


Requirements


What You Bring

We’re looking for someone who:

  • 4+ years Design experience

  • Clear understanding of the design process

  • Knowledge and background in review and management of architectural and/or structural shop drawings

  • Proficiency in the use of CAD

  • Clear and proven understanding of construction methodology

  • Ability to comprehend and work within project parameters

  • Proven ability to build and maintain relationships with people from all levels of an organisation

  • Strong ability to self-manage and work to schedule – prioritizing tasks, delegation as required

  • Demonstrated high attention to detail and follow through

  • Ability to identify opportunities and risks

  • Demonstrated ability to read and understand detailed construction plans and documentation and agreements

  • Knowledge of construction codes and standards

Desirable

  • Tertiary qualifications in architecture, construction management, engineering, quantity surveying, or related discipline
