Job Description

Your Responsibilities:

We are looking for a dynamic Trade Execution & Port Operations professional to manage end-to-end execution of edible oil imports and domestic trade operations. The role will be responsible for execution of import and local purchase contracts, vessel operations, customs coordination, terminal operations, inventory management, customer deliveries, documentation, cost control, and stakeholder management across multiple ports including JNPT, Chennai, Mangalore, and Haldia.
The ideal candidate should have hands-on experience in handling imported edible oils such as Crude Palm Oil (CPO), Degummed Soybean Oil (DSO), Sunflower Oil, RBD and other bulk liquid commodities.
Key Responsibilities
Trade Execution
• Manage complete execution of purchase and sales contracts from contract confirmation until final settlement.
• Ensure timely execution of import shipments with minimal operational and financial risk.
• Coordinate contract nominations, shipment schedules, delivery plans, and execution timelines.
• Monitor contractual obligations and ensure compliance with agreed commercial terms.
• Maintain accurate trade position and execution status.
Port & Terminal Operations
• Independently manage day-to-day operations at JNPT, Chennai, Mangalore, and other assigned ports.
• Coordinate vessel discharge operations with shipping agents, tank terminals, surveyors, customs brokers, and transporters.
• Monitor vessel berthing, discharge progress, storage utilization, and cargo evacuation.
• Ensure timely completion of discharge operations while minimizing demurrage, detention, and operational delays.
• Coordinate local purchase unloading and customer loading operations.
Customs & Documentation
• Track Bill of Entry (BOE) filing and customs clearance.
• Coordinate with Customs House Agents (CHA), shipping lines, and regulatory authorities.
• Monitor duty payments and customs-related compliance.
• Ensure timely availability of import documents for cargo clearance.
Customer & Supplier Coordination
• Act as the primary execution contact for buyers, suppliers, shipping companies, tank terminals, surveyors, inspectors, and logistics partners.
• Coordinate delivery orders, cargo lifting schedules, sampling, inspections, and documentation.
• Maintain strong working relationships with internal and external stakeholders.
• Perform margin calculations, revised pricing, duty variance calculations, and commercial settlements.
• Process Debit Notes (DN), Credit Notes (CN), and trade settlements.
• Verify invoices before processing
Inventory & Quality Management
• Monitor stock positions across terminals.
• Coordinate quality inspections, sampling, and survey reports.
• Ensure accurate inventory reconciliation.
• Coordinate quality and weight settlements with suppliers and buyers while minimizing commercial exposure.
• Monitor execution costs and identify opportunities for operational savings.
• Review port, terminal, survey, transport, and warehouse costs.
• Support vendor invoice verification and non-raw material vendor payments.

Reporting & MIS, Process Improvement & Compliance
• Maintain execution records and operational documentation.
• Prepare Daily Discharge Reports (DDR), vessel status reports, stock reports, and execution MIS.
• Update SharePoint and ERP systems with execution data.
• Prepare month-end operational reports and support financial closing activities.
• Participate in process improvement initiatives to enhance operational efficiency.
• Ensure adherence to company SOPs, trade compliance, food safety, and statutory requirements.
• Support internal and external audits by maintaining complete documentation.
Stakeholder Management
• Collaborate with Trading, Finance, Commercial, Supply Chain, Quality, Logistics, Customs, and Legal teams.
• Build effective relationships with customers, suppliers, terminals, surveyors, transporters, shipping agents, and government authorities.
• Maintain accurate execution records.
• Support ERP implementation and digital initiatives.
• Perform additional execution-related responsibilities assigned by management.
Key Performance Indicators (KPIs)
• Timely execution of purchase and sales contracts.
• Zero operational disruptions due to execution lapses.
• Minimized demurrage, detention, and avoidable logistics costs.
• Accurate BOE tracking and customs clearance.
• Timely customer deliveries and cargo lifting.
• Inventory accuracy and stock reconciliation.
• Timely completion of commercial settlements (DN/CN).
• Accuracy of MIS and operational reporting.
• Strong compliance with SOPs and audit requirements.
• Continuous improvement through cost-saving and process optimization initiatives.

Your Profile:

Preferred Experience
• 5–10 years of experience in Trade Execution, Import Operations, Port Operations, or Supply Chain.
• Experience in edible oil imports is mandatory.
• Hands-on experience managing bulk liquid cargo operations.
• Experience handling multiple ports simultaneously.
Preferred Commodity Experience
• Crude Palm Oil (CPO) /Crude Deggumed Soybean Oil /Refined Oils /Crude Sunflower Oil /Other edible oil commodities
