CLASS TITLE: DEPUTY CLERK - COURTROOM
CLERK OF COURT AND FAMILY COURT DIVISION
GENERAL DESCRIPTION OF CLASS
The purpose of the class is to provide administrative and clerical support to ensure the efficient operation of the courtroom; to serve as evidence custodian, to enforce payment of support as ordered; to establish and maintain case files; and to perform related work as required. The class works within a general outline of work to be performed, and develops work methods and sequences under general supervision. Supervised by the Chief Deputy Clerk of Court and/or Courtroom Administrator.
The tasks listed below are those that represent the majority of the time spent working in this class. Management may assign additional tasks related to the type of work of the class as necessary.
Prepares courtroom for daily operations; stocks necessary supplies.
Prepares generates and maintains roster and files for court.
Performs jury qualification procedures; assists with jury selection; swears in jury panels and witnesses; provides assistance and information to jurors as needed.
Provides information and assistance to litigants, various agencies and judges as needed.
Makes adjustments to accounts per court order and/or tax interceptions; generates reports on delinquent accounts.
Prepares and maintains child support case files, ensuring accurate and complete documentation.
Receives and ensures the security of court evidence; transfers to Evidence Custodian as required.
Attends court and assists judges, other court staff, attorneys and others in the courtroom as needed.
Consults regularly with the Chief Deputy Clerk/Deputy Family Court Administrator or other officials to review assigned operations and activities, review and resolve problems, and provide or receive recommendations.
Receives and responds to inquiries, requests, concerns and complaints in areas of responsibility.
Sends appropriate notices for court.
Compiles data for and prepares various records and reports as required by the department, County and/or other agencies.
Performs general administrative / clerical duties as required, including but not limited to copying and filing documents, entering and retrieving computer data, sending and receiving faxes, processing mail, preparing spreadsheets, answering the telephone, etc.
Attends training, meetings, seminars and/or workshops as required to enhance job knowledge and skills; maintains a current, comprehensive knowledge of laws, regulations, trends and technologies affecting assigned operations.
Reviews and schedules non-compliance cases for court; issues bench warrants, attends and assists with court hearings.
Processes a variety of documents associated with court/division operations within designated timeframes and per established procedures; prepares, processes, copies, files, indexes and/or transmits various forms, records, reports, notices, orders, other legal documents, correspondence, etc., as required.
Reviews enforcement/court procedures and/or requirements; monitors cases for compliance with procedures; audits accounts to determine if clients should be ruled into court for failure to pay.
Performs duties of co-workers as required.
This position has no supervisory responsibilities.

Requires gathering, organizing, analyzing, examining or evaluating data or information and may prescribe action based on such data or information.

Requires giving information, guidance or assistance to people to directly facilitate task accomplishment; may give directions or assignments to helpers or assistants. Provides professional and courteous customer service at all times.
INVOLVEMENT WITH THINGS
Requires handling or using machines, tools or equipment requiring brief instruction or experience, such as computers for data entry, fax machines, copiers, telephones or similar equipment; may service office machines, including adding paper and changing toner. Must be capable of accurately using computers and software programs designed for court systems.
REASONING REQUIREMENTS
Requires performing semi-skilled work involving set procedures and rules but with frequent problems. Must deal effectively with unpleasant clients and situations on a daily basis.
MATHEMATICAL REQUIREMENTS
Requires using addition and subtraction, multiplication and division, and/or calculating ratios, rates and percentages.
LANGUAGE REQUIREMENTS
Requires reading technical instructions, procedures, manuals and charts to solve practical problems; composing routine reports and specialized reports, forms and business letters with proper format; speaking compound sentences using normal grammar and word form.
MENTAL REQUIREMENTS
Requires doing clerical, manual or technical tasks requiring a wide range of procedures and requiring intensive understanding of a restricted field or complete familiarity with the functions of a unit or small division of an operating agency; requires normal attention with short periods of concentration for accurate results or occasional exposure to unusual pressure.
VOCATIONAL/EDUCATIONAL AND EXPERIENCE PREPARATION
VOCATIONAL/EDUCATIONAL PREPARATION
Requires Associate’s degree, vocational technical degree or specialized training that is equivalent to satisfactory completion of two years of college education with emphasis in paralegal studies, accounting, business or a closely related field or any acceptable combination of education and experience.
SPECIAL CERTIFICATIONS AND LICENSES
Must possess a valid state driver’s license.
Must possess Notary Public certification.
EXPERIENCE REQUIREMENTS
Requires two years and up to and including four years in customer service, legal field or court system.
AMERICANS WITH DISABILITIES ACT REQUIREMENTS
PHYSICAL AND DEXTERITY REQUIREMENTS:
Requires sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a recurring basis or routine keyboard operations. Must be able to lift up to 50 pounds on a recurring basis.
ENVIRONMENTAL HAZARDS
The job risks exposure to environmental hazards such as evidence, germ infested clothing, blood, body matter, weapons etc. Risk involved in court room with inmates/prisoners/litigants with potential volatile situation on a regular basis.
SENSORY REQUIREMENTS
The job requires normal visual acuity and field of vision, hearing and speaking ability, and color perception.
JUDGMENTS AND DECISIONS
Responsible for guiding others, requiring frequent decisions affecting co-workers and others who depend on the service or product; works in a somewhat fluid environment with rules and procedures but with many variations from the routine.
