Job Opening:

The Executive Office of Veterans Services is seeking a dynamic candidate to support their team as Deputy Chief of Staff!

The Executive Office of Veterans Services Deputy Chief of Staff works with the Chief of Staff to oversee administrative functions of the Office of the Secretary and to drive and implement agency strategy, operations, and executive priorities, as well as monitoring and reporting on operational performance.

The position supports the continued organizational development and operational maturation of the Secretariat and works collaboratively alongside members of the Secretary’s Office, Communications, executive leadership, and business unit leaders to execute strategic priorities, improve operational effectiveness, and resolve complex organizational issues.

Duties & Responsibilities:

  • Coordinate the operation of the Secretary’s Office administrative and executive functions.

  • Work closely with executive staff to manage and coordinate obligations, outreach initiatives, executive events, and strategic priorities for the Secretary.

  • Oversee and provide guidance to administrative and operational support staff and coordinate support for executive initiatives and outreach activities.

  • Staff the Secretary, as needed, for meetings, public events, and stakeholder engagements and serve as proxy on occasion and as directed, including logistics, briefing materials, and coordination with other Secretariats and agencies.

  • Drive implementation of Secretariat special initiatives, operational objectives, and strategic priorities, including collaboration across business units and project management for high-priority initiatives.

  • Serve as the primary point of contact for interagency collaboration and coordination throughout the Executive Branch and coordinate with the Governor’s Office and external stakeholders regarding implementation of agency initiatives and priorities.

  • Assume delegated responsibilities of the Chief of Staff, including representing the Chief of Staff and Secretary in meetings with internal and external stakeholders, coordinating executive meetings and operational priorities, facilitating staff coordination, and supporting implementation of executive directives and strategic initiatives.

  • Generate and maintain regular reporting on agency operations and executive priorities.

  • Collaborate with business unit leaders to effectively monitor, track, and report on implementation of initiatives and special projects.

  • Work with staff to prepare information, data, and reports for further analysis, executive review, and action.

  • Support strategic planning, organizational development, and operational improvement efforts aligned with Secretariat priorities.

  • Identify operational challenges and recommend corrective actions, process improvements, and implementation strategies to improve coordination, efficiency, and service delivery.

  • Lead planning and coordination of high-profile agency events, executive initiatives, and stakeholder engagements.

  • Other duties, as assigned

Preferred Qualifications:

  • Knowledge and experience of State Government and State Legislature

  • Experience serving in the military and/or knowledge of military culture

  • Knowledge of the principles and practices of management, including planning, organizing, directing, motivating, and decision making

  • Knowledge of the principles and techniques of supervision

  • Ability to maintain professional relationships with high level executives and community members

  • Ability to build relationships and develop and maintain trust with diverse groups of individuals

  • Ability to develop and maintain effective diverse working relationships with staff in all sites

  • Exceptional organization skills and ability to multi-task within tight timelines

  • Ability to work in a team oriented, face paced, and demanding environment

Qualifications

MINIMUM ENTRANCE REQUIREMENTS:

Applicants must have at least (A) five (5) years of full-time or, equivalent part-time, professional, administrative, supervisory, or managerial experience in business administration, business management, public administration, public management, clinical administration or clinical management of which (B) at least one (1) year must have been in a project management, supervisory or managerial capacity or (C) any equivalent combination of the required experience and substitutions below.

Substitutions:

I. A certificate in a relevant or related field may be substituted for one (1) year of the required (A) experience.

II. A Bachelor's degree in a related field may be substituted for two (2) years of the required (A) experience.

III. A Graduate degree in a related field may be substituted for three (3) years of the required (A) experience.

IV. A Doctorate degree in a related field may be substituted for four (4) years of the required (A) experience.
