About the position
Reporting to the Director, Research & Business Support, the Departmental Business Coordinator provides trusted, high level business support to the Managing Director of the Communications department and its Senior Leadership Team (SLT).

Working in a fast paced, high-profile environment, the Departmental Business Coordinator anticipates leadership needs, and applies sound judgment to ensure priorities are advanced, decisions are well supported, and issues are resolved. The role requires strong analytical capability, excellent attention to detail, and the ability to navigate shifting priorities with discretion and confidence.

What you will do

• Provide proactive business and executive administrative support to the Managing Director, exercising judgment to prioritize issues, sequence work and meetings, and determine when to act independently or escalate in a fast-paced environment.
• Plan and manage SLT agendas, materials, and follow-ups, adjusting quickly as priorities shift.
• Support governance and executive decision making by coordinating inputs across COM and internal partners, preparing concise materials, taking notes, tracking actions, analyzing issues, and proposing clear, timely recommendations.
• Manage multiple competing priorities simultaneously, proactively identifying and resolving issues while exercising sound judgment on when to act independently and when to escalate.
• Maintain accurate, reliable records and handle sensitive information with professionalism, discretion, and integrity, recognizing their impact on executive decision making and reputational risk.

What you need to succeed

• Demonstrated experience supporting Managing Directors and Senior Leadership Teams in a complex organization.
• Strong planning and organizational skills, with the ability to manage shifting priorities under tight timelines.
• Well developed analytical and problem solving skills, supported by sound judgment.
• Ability to handle sensitive and confidential information with the utmost discretion.
• Exceptional attention to detail and follow-through.
• Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint.
• Familiarity with senior level governance, executive briefings, and committee support.

Asset

• Experience in a corporate communications environment.

Your education and experience
This position requires a university or college diploma and five years of experience providing senior level business or executive support in a complex organization. An equivalent combination of education and experience may be considered.

Language requirement
The Bank’s work environment is conducive to the use of both of Canada’s official languages - English and French. The position language requirement is Level 5 (Fully Functional). Hybrid Work Model
The Bank offers work arrangements that provide employees with flexibility, enable high-performing teams, and support an excellent workplace culture. Most employees can telework from home for a portion of each month as part of the Bank’s hybrid work model, and they are expected on site at the Bank location a minimum of 12 days per month to help build connections between colleagues. • Salaries are based on qualifications and experience and typically range from $73,511 to $86,484 (job grade 14)
• The Bank offers an incentive for successfully meeting expectations at 3 to 5% of your base salary. The Bank offers additional performance pay (2%) for those who exceed expectations. Exceptional performers who far exceed expectations may be eligible for higher performance pay.
