Title: Departmental Assistant

Location: Upper East Side

Org Unit: Chair Support

Work Days: Monday-Friday

Weekly Hours: 35.00

Exemption Status: Non-Exempt

Salary Range: $23.79 - $25.88

*As required under NYC Human Rights Law Int 1208-2018 - Salary range for this role when Hired for NYC Offices

Position Summary

Under supervision, provides a wide range of administrative and secretarial support for the office

Job Responsibilities

  • Serves as the first point of face-to-face contact with staff and visitors to the office.
  • Interfaces with staff addressing questions regarding general office procedures.
  • Distributes mail and packages.
  • Manages various mass distributions as needed.
  • Schedules meetings/appointments as needed and reserves conference rooms for staff members. Assists with organization and preparation for all meetings, workshops, events and presentations and ensures proper room set-up.
  • Maintains general appearance of the office space.
  • Maintains and manages kitchen equipment. Monitors proper usage, schedules repairs when necessary and trains staff on safety and maintenance protocols.
  • Assists with travel arrangements when needed.

Education

  • High school diploma or GED

Experience

Approximately 1 year of prior administrative support experience

Knowledge, Skills and Abilities

  • Demonstrated organizational skills and ability to pay close attention to detail.
  • Excellent communication skills (both verbal and written).
  • Ability to exercise standards of professionalism, including appearance, presentation and demeanor.
