Organization:

SPMF-Sutter Pacific Medical Foundation - SouthProvides a variety of routine and specialized clerical and administrative duties in support of an ancillary unit. Execute a variety of clerical duties, prioritizes information and requests in a timely manner. Gains confidence and cooperation from staff, physicians, and other healthcare providers. Adheres to all local/state/federal regulations, codes, policies and procedures to ensure privacy and safety. May also be responsible for orienting new staff to the department/unit.

JOB ACCOUNTABILITIES:

ADMINISTRATIVE SUPPORT SERVICES.
• Performs a series of specialized clerical and administrative duties and tasks; establishes work priorities, and creates documents including letters, memorandums, manuals, and reports.
• Receives and screens calls, messages, mail and email communications, and visitors.
• Compiles charts by calling and collecting orders, test results, labs, reports and clearances, and scans information into electronic health record (EHR).
• Coordinates meetings, providing support by establishing travel, lodging, event arrangements, equipment or reservations as necessary. Participates in departmental meetings by preparing notices, agendas, and minutes.
• Manages calendars, departmental schedules, coordinates activities, and prepares for meetings and events. Arranges for complex logistical needs.
• Coordinates and schedules patient appointments as needed and appropriately within EHR system.
• Collects for self-pay portions of patient bills, including processing credit cards through POS systems.
• May maintain timekeeping records and function as department Timekeeper.
• Assists in quality and physician credentialing compliance to include, licensure, certification, accreditation as needed.
• Assists department staff in the use of the electronic medical record and other systems; may act as resource for computer-related issues.
• Ensures that routine and priority tasks are completed within established departmental time frames.

SAFETY.
• Maintains a clean, neat, and safe working environment, by inventorying and ordering accessories and supplies periodically to maintain established stock levels.
• Transports or arranges for transport of supplies and equipment between units or departments as needed.
• Inspects and arranges for equipment repairs, monitors costs and needs for replacement.

COMPLIANCE.
• Maintains strictest confidence of all patient protected health information (PHI) and protects all PHI from accidental, intentional, or inappropriate disclosure.
• Performs all duties in compliance with department standards, policies, and procedures, as well as local, state and federal regulatory agencies to deliver the highest level of patient privacy and care.
• Retains and completes mandated continuing education requirements to meet departmental and facility requirements.

EDUCATION:
Equivalent experience will be accepted in lieu of the required degree or diploma.

HS Diploma or equivalent education/experience

DEPARTMENT-SPECIFIC CERTIFICATION & LICENSURE:

Department, MMC Center of Excellence Cardiac: BLS - Basic Life Support Healthcare Provider

Department, MMC Center of Excellence Neuro: BLS - Basic Life Support Healthcare Provider

TYPICAL EXPERIENCE:

1 year recent relevant experience

SKILLS AND KNOWLEDGE:

General knowledge of various medical terminology, procedures, views, and equipment.

Written and verbal communications skills to communicate with fellow team members, supervisors, patients, and other personnel.

Well-developed administrative, time management and organizational skills, including the ability to prioritize assignments and work within standardized policies and procedures to achieve objectives and meet deadlines.

Basic knowledge of computer applications, such as Microsoft Office Suite (Word, Excel and Outlook), electronic health records (EHR), EPIC, and related information systems.

Interpret a variety of data and instructions, furnished in written, oral, diagram, or schedule form.

Prioritize assignments and work within standardized policies and procedures to achieve objectives and meet deadlines.

Work independently, as well as be part of the team, including accomplishing multiple tasks in an environment with interruptions.

Identify, evaluate and resolve standard problems by selecting appropriate solutions from established options.

Exercise sound judgment.

Ensure the privacy of each patient’s protected health information (PHI).

Build collaborate relationships with peers and other staff members to achieve departmental and corporate objectives.

Department, Eden: EKG skills Shift 3 (NOCs)

Department, Eden: May assist with PPD injections when approved (S-Th NOCs)

Department, Eden: May assist with venipuncture phlebotomy when approved (S-Th NOCs)

Pay Range is $32.70 to $45.77 / hour

The compensation range may vary based on the geographic location where the position is filled. Total compensation considers multiple factors, including, but not limited to a candidate’s experience, education, skills, licensure, certifications, departmental equity, training, and organizational needs. Base pay is only one component of Sutter Health’s comprehensive total rewards program. Eligible positions also include a comprehensive benefits package.
