Summary:
The DeLUXE K!ds In Harmony Site Manager plays an integral role within the Houston Symphony’s flagship music education program, In Harmony. This community-based afterschool music education program aims to foster community and life skills through active music making. The inaugural site of this program is DeLUXE K!ds In Harmony, situated in Houston’s historic 5th Ward community. In collaboration with partners DeLUXE Theater and AFA, this program emphasizes violin and general music instruction, involving approximately 40 students in grades 3-6.
The Site Manager acts as the main liaison to the students and their caregivers -- primarily reporting to the Houston Symphony, which oversees the program implementation and instruction, with joint reporting to the DeLUXE Theater, which oversees the involvement of students and families from the 5th Ward community and secures rehearsal facilities.
This is an hourly position that will typically include seven on-site hours each week (three after-school sessions), in addition to select performances and special events throughout the school year. Approximately 3-4 hours of administrative work each week can take place remotely to support weekly communication with families. The Site Manager will be involved in all faculty meetings to bring shared ideals and philosophies to their work.
Essential Job Functions:
Communication and Community Engagement:
- Ensure families receive clear program information through flyers, phone calls, emails, and texts.
- Foster a positive, welcoming culture in the DeLUXE K!ds In Harmony program by ensuring clear, supportive communication with faculty, management, students, partners, caregivers, and families.
- Maintain professional, timely communication with the Symphony’s Community Engagement Manager, DeLUXE Theater liaison, faculty, and students’ caregivers.
On-Site Student & Faculty Support:
- Provide on-site support during rehearsals, performances, and special events by assisting with room set-up and breakdown, supporting faculty, guiding student transitions, and maintaining consistent supervision of students.
- Create and enforce policies and protocols for student pick-up and drop-off, maintaining routine and structure.
- Organize distribution of snacks, supplies, and prizes to students as needed.
- Facilitate the navigation of visitors to appropriate locations on-site.
- Facilitate one-on-one student instruction opportunities with fellows or Symphony musicians.
- Participate in monthly instructor team discussions and relevant trainings to ensure on-site needs are met.
- Maintain student database daily, including registration information, attendance, class assignments, and behavior reports.
- Serve as primary decision-maker for on-site emergency situations involving students according to protocol (e.g., medical, severe behavior, or weather), including action, communication, and reporting of incidents.
- Attend recruitment events and assist with student registration, including any necessary follow-ups.
Facilities & Logistics Support (DeLUXE Theater Liaison):
- Liaise with DeLUXE Theater, campus, and venue staff regarding rehearsal and performance schedules, space, transportation information for students and families, and special equipment needs.
- Ensure rehearsal facilities are safe and comfortable for students, addressing issues such as broken furniture, temperature, or other on-site concerns.
- Proactively communicate facility-related challenges to DeLUXE Theater and the Symphony’s Community Engagement Manager.
Curriculum & Supplies Support:
- Maintain organized inventory of instruments, music folders, performance attire, and other curriculum-related supplies.
