The Data Entry Clerk is responsible for accurately entering, maintaining, and updating critical data in the company’s systems (ERP, QA databases, spreadsheets, etc.). This role ensures data integrity and supports operations, engineering, procurement, quality, and other functional teams by providing timely and reliable data entry, verification, and reporting. The ideal candidate will have strong attention to detail, high accuracy rates, and the ability to work with technical data related to manufacturing, components, orders, and supply chain.

ESSENTIAL FUNCTIONS

  • Enter and update data from multiple sources (paper, electronic, drawings, inspection reports, order forms) into the ERP or other internal systems
  • Validate data for completeness, consistency, and accuracy; flag discrepancies or missing information
  • Reconcile, clean up, and standardize datasets (e.g. part numbers, specifications, quantities, vendor codes)
  • Maintain logs of data entry activity and changes to historical records
  • Assist in generating reports and dashboards (daily, weekly, monthly) for management, operations, engineering, procurement, and quality
  • Coordinate with other departments (engineering, quality, purchasing, production) to clarify ambiguous or missing data
  • Support audits and traceability by providing data extracts and documentation as needed
  • Monitor backlog of data entry tasks and help prioritize workflow in coordination with supervisors
  • Suggest and help implement process improvements or automation (macros, templates, data validation rules) to improve speed and reduce errors
  • Ensure confidentiality and data security in handling sensitive and proprietary information



Qualifications

KNOWLEDGE

  • Proficient in data entry and record management practices.
  • Strong working knowledge of Microsoft Excel (formulas, formatting, data validation, pivot tables, VLOOKUP).
  • Familiarity with enterprise systems such as ERP, MRP, or database management software.
  • Understanding of basic data quality concepts such as accuracy, consistency, and completeness.
  • Awareness of standard office procedures and document control practices.
  • General understanding of manufacturing, procurement, or supply chain workflows preferred.

EXPERIENCE AND EDUCATION

  • High school diploma or GED required.
  • Associate degree or post-secondary coursework preferred.
  • 1–2 years of experience in data entry, administrative, or clerical roles.
  • Experience in a manufacturing, logistics, or engineering setting is a plus.
  • Prior exposure to ERP systems or quality management databases preferred.

WORKING CONDITIONS

  • Standard office environment; extended periods of computer and desk work.
  • Occasional interaction with production or warehouse personnel for data verification.
  • May involve handling physical documents or technical drawings.
  • Moderate noise levels typical of office and light industrial environments.
  • Regular business hours with potential for occasional overtime based on project timelines.
  • Must adhere to data security, safety, and compliance standards.
