Position Purpose:

This position supports district assessment, data, reporting, and instructional resource systems. The manager coordinates district, state, and national assessments; maintains accurate data and required reports; supports assessment and data platforms; coordinates access and circulation for district instructional materials; and provides library management support to building library staff.

Responsibilities:

  1. Assessment Coordination and District Administration Priority: Essential | Percent of Time: 45%

Examples of this work include:

  • Coordinate FastBridge, NDA+, AP, ACCESS, and other assigned assessments.
  • Complete the district's annual setup of AP registration, testing locations, transportation, ordering, and technology needs.
  • Prepare and validate student files and rosters; troubleshoot testing and data-flow issues.
  • Coordinate assessment materials, inventory, timelines, training, security procedures, corrections, and proctor coverage.
  • Communicate assessment expectations and provide support to administrators and staff.
  1. Data Systems and Required Reporting Priority: Essential | Percent of Time: 15%

Examples of this work include:

  • Support STARS and other assigned data systems, including users, training, validation, and error correction.
  • Coordinate assigned district, state, and federal reporting, including Annual Report, OCR, YRBS, EL, migrant, and other required submissions.
  • Maintain data integrity, accuracy, confidentiality, and documentation.
  1. Assessment and Data Program Management Priority: Essential | Percent of Time: 10%

Examples of this work include:

  • Manage assigned assessment/data platforms and contracts, including annual setup, rollover, user support, and reporting.
  • Manage KickUp, MTSS Systems in Infinite Campus, and/or successor systems as assigned.
  • Provide training, reports, guidance, and troubleshooting support.
  1. Library Systems and Operational Support Priority: Essential | Percent of Time: 25%

Examples of this work include:

  • Provide day-to-day support for district library systems, including responding to requests, maintaining patron records, supporting circulation and interlibrary loan functions, and troubleshooting system issues.
  • Train and support library staff in using the library management system; coordinate staff training with the Library and Instructional Resources Coordinator, Information Technology, and Help Desk staff as appropriate.
  • Coordinate library-related operational needs, including the receipt and distribution of materials, equipment, and supplies; work orders and hauling requests; and audio-visual equipment inventory and repair records in collaboration with Information Technology.
  • Manage district periodical renewals and distribution and provide ongoing support for other districtwide library resources and services.
  • Collaborate with the Library and Instructional Resources Coordinator, library staff, district personnel, vendors, and delivery personnel and assist with special projects and other library program needs as assigned.
  1. Other Duties and Department Support Priority: Essential | Percent of Time: 5%

Examples of this work include:

  • Assist the Library and Instructional Resources Coordinator and Teaching and Learning staff with special projects.
  • Provide cross-training and backup support for related assessment, data, purchasing, and instructional resource functions.
  • Complete other duties of a similar level of responsibility as assigned.
  • Organize field trips and Transportation for field trips.

Knowledge, Skills, and Ability:

Minimum Qualifications:

  • Minimum two-year technical degree or related education/experience.
  • Minimum 3-5 years of experience in a similar position.
  • Experience providing training and guidance regarding assessment, data, systems, or procedures.
  • Strong computer and technology skills, including Excel, Word, databases, and web-based systems.
  • Experience with data validation, reporting, inventory/resource management, or purchasing processes.
  • Strong organization, communication, problem-solving, confidentiality, and independent-work skills.

Preferred Qualifications:

  • Experience with assessment platforms, student information/data systems, or data warehouse tools.
  • Experience with instructional materials, library management systems, digital subscriptions, or resource inventory systems.
  • Experience with purchasing, vendor coordination, requisitions, and budget tracking.

Reports To: Library and Instructional Resources Coordinator

Personal contact with students, staff, parents/guardians, faculty, and administrators is an essential part of the position and requires the ability to share information and must be sensitive to people and their needs. The position may handle confidential and private data.

Work involves differing situations and the ability to rapidly access and prioritize competing demands. It is important to identify the problem and resolve it promptly and tactfully.

Freedom To Act

The incumbent performs tasks under the direction of Library and Instructional Resources Coordinator and refers significant policy, budget, compliance, or operational issues to the appropriate supervisor or district administrator.

The incumbent takes the initiative to ensure completion of all tasks and will adjust priorities to accommodate competing workload demands.
