Job Description

We are looking for an organized and proactive Customer Service Specialist to join our team. In this role, you will manage customer service operations, support order processes, and work closely with supply chain and internal teams.

You will help ensure smooth operations, accurate processes, and high customer satisfaction in a fast-paced environment.

Key Responsibilities

  • Manage the full order process from order entry to delivery and invoicing
  • Work closely with warehouse (3PL) and logistics partners to ensure on-time deliveries
  • Communicate clearly with customers, logistics teams, and internal departments
  • Act as the main contact person for customer questions and requests
  • Support customer satisfaction with professional and solution-focused communication
  • Follow sales, stock, and invoicing processes and ensure data accuracy
  • Monitor stock levels and help prevent shortages
  • Create and check purchase orders and invoices
  • Support import processes and ensure required documents are available
  • Handle product returns and customer requests according to company rules
  • Support recall processes together with quality teams
  • Manage price differences, campaigns, and customer-related financial topics
  • Prepare simple reports and support basic analysis
  • Maintain customer data in systems and ensure accuracy
  • Monitor daily operations (orders, delivery, stock, invoicing)
  • Identify problems and support process improvements

Qualifications

  • Bachelor’s degree in Business, Logistics, or related field
  • Minimum 3 years of experience in customer service (pharma or medical sector is a plus)
  • Basic knowledge of order management and logistics processes
  • Experience with ERP systems (SAP is a plus)
  • Good knowledge of Microsoft Office
  • Basic analytical and reporting skills
  • Strong organization and time management skills
  • Attention to detail
  • Good communication skills
  • Customer-focused mindset
  • Ability to work in a fast-paced environment
  • Intermediate English level
