Sandvik Mining is looking for a Customer Service Support and Administrative Specialist in Denver, CO.

The customer service support and admin will take incoming calls and provide administrative support for purchase orders and documentation related to orders.

Business area Mining is a global leading supplier of equipment and tools, parts, service, digital solutions and sustainability-driving technologies for the mining and construction industries. Applications include rock drilling, rock cutting, loading and hauling, tunneling and quarrying.

The customer service support role will be a hybrid role requiring at least 3 days in office in downtown Denver, CO.

Key Responsibilities:

MAIN RESPONSIBILITIES

Customer Service & Sales Support

  • Respond to inbound calls, emails, and customer inquiries in a timely and professional manner
  • Process sales orders accurately and ensure proper system entry
  • Assess and route inquiries to appropriate departments when needed
  • Take full ownership of customer issues through to resolution
  • Communicate proactively with customers regarding order status, delays, and delivery updates
  • Expedite urgent orders to meet critical customer needs
  • Support inside sales efforts by identifying opportunities to promote products and services
  • Build and maintain strong customer relationships through consistent, high-quality service
  • Maintain working knowledge of products, services, and applications

Order Management & Logistics Coordination

  • Monitor and manage back orders, open picks, and allocations to improve order fulfillment
  • Collaborate with expediting, warehouse, and logistics teams to ensure timely delivery
  • Ensure accuracy of customer, order, and inventory data in ERP systems
  • Utilize system tools to optimize stock availability and job prioritization
  • Collaborating with AR for collections where necessary

Administrative Support

  • Provide general clerical support
  • Process accounts payable and purchase orders/requisitions
  • Enter Customer invoices into Ariba portal or customers alternative portal if applicable
  • Set up and maintain vendor records in compliance with company standards
  • Generate reports and maintain accurate documentation
  • Act as interim rock tools recycling champion
  • Arrange for bin pick up and drop off
  • Communicate and track credits to customers for recycled goods
  • Invoicing for purchases
  • Prepare monthly report with graphs for monthly recycling goals vs actual along with progress made in new accounts and improvements

Continuous Improvement & Compliance

  • Identify inefficiencies in processes and recommend improvements
  • Support continuous improvement initiatives and cross-functional projects
  • Ensure adherence to company policies, financial controls, and regulatory requirements
  • Maintain data accuracy and integrity across all systems

PERFORMANCE METRICS (KEY SUCCESS INDICATORS)

  • Order accuracy rate
  • Customer response and resolution time (SLA adherence)
  • On-time delivery support performance
  • Customer satisfaction (CSAT)
  • Data accuracy and system integrity

Minimum Qualifications:

  • 3-5 years experience in customer service
  • Proficiency in MS Office (Excel, Word, Outlook)
  • Proficiency in Power BI
  • Experienced with ERP system and/or CRM system

Preferred qualifications:

  • Ability to navigate multiple different computer systems, comfort with learning new programs

Location: Denver, Co

Travel Requirements / shift / hours: Occasional travel to other sites for training or meetings

Compensation Range: $62,000 to $64,000

Work authorization

Must have the legal right to work in the United States on an indefinite basis without employer sponsorship
