Job Description

At Colibri Group, culture is at the heart of everything we do. Our values Love, Joy, Boldness, Teamwork, and Curiosity guide how we work together, support our customers, and make a difference in the communities we serve.

Colibri Group is a leader in online professional education, serving more than one million learners each year across a family of trusted education brands. Our Real Estate education business helps aspiring and current real estate professionals meet licensing requirements, build their skills, and move forward in their careers through accessible, high-quality education.

Come Build What’s Next

We’re looking for a Customer Service Representative, Real Estate Operations to help create a smooth, accurate, and supportive experience for students throughout their real estate education and licensing journey.

This is a fully onsite position and requires working in our Charlotte office five days per week. Our office is 14815 Ballantyne Village Way #270, Charlotte, NC 28277

This is an individual contributor role responsible for student communications, course and exam administration, regulatory reporting, and day-to-day program coordination. You’ll serve as an important connection point between students, instructors, sponsors, regulatory agencies, and internal teams while helping ensure programs run efficiently and in accordance with state licensing requirements.

We’re looking for someone who is highly organized, service-oriented, and comfortable managing a lot of moving pieces. You should be equally comfortable helping a student understand their next steps, tracking deadlines, maintaining accurate records, coordinating course and exam requirements, and following an issue through to resolution.

What You’ll Do

  • Support students throughout Pre-Licensing and Post-Licensing programs, including welcome communications, course requirements, exam information, deadlines, retake procedures, and next steps toward licensure
  • Coordinate course and exam administration across classroom, livestream, and online programs, including tracking completion, verifying exam eligibility, processing results, and maintaining required documentation
  • Maintain accurate student records and prepare required course, completion, enrollment, and pass/fail reporting for state regulatory agencies
  • Serve as a day-to-day operational partner to instructors by providing rosters, student progress information, course results, and administrative support
  • Coordinate Continuing Education sponsorship activities, including communications, scheduling, logistics, and participation tracking for external partners
  • Help coordinate career expos, networking opportunities, and student engagement events, including registrations, communications, vendors, employers, and event logistics
  • Maintain operational trackers and reporting while identifying opportunities to improve processes, accuracy, efficiency, compliance, and the overall student experience

What You’ll Bring

  • 2+ years of experience in customer service, education administration, program coordination, operations, or a related environment
  • Strong organizational skills and the ability to manage multiple priorities, deadlines, and detailed processes at the same time
  • A high level of attention to detail and a demonstrated commitment to accurate documentation and recordkeeping
  • Strong written and verbal communication skills, with the ability to provide clear, helpful information to students, instructors, partners, and internal teams
  • Comfort working with data, spreadsheets, tracking systems, and operational reporting
  • The ability to identify issues, research discrepancies, and follow through to resolution in a fast-moving environment
  • An associate degree or an equivalent combination of education and relevant professional experience.
  • The ability to reliably commute to our Charlotte office and work fully onsite five days per week

Experience in education, professional licensing, regulatory operations, workforce development, event coordination, or external partnership support is helpful but not required.

Tools, Platforms, and Methodologies You May Use

Experience with every system below is not required. We’re most interested in your ability to learn new tools quickly, maintain accurate information, and use systems effectively to support students and operational processes.

  • Learning Management Systems
  • Student information or education administration systems
  • CRM platforms
  • Microsoft Excel or similar spreadsheet tools
  • Internal reporting, tracking, and documentation systems

Why You’ll Love Working Here

  • Your work will have a direct impact on students working toward an important professional milestone
  • You’ll help make complex education and licensing processes easier for students to understand and navigate
  • You’ll have exposure to multiple parts of the business, including education operations, instructors, regulatory requirements, partnerships, and student experience
  • You’ll have opportunities to identify better ways of working and contribute to improvements in processes and programs
  • You’ll work with a team that values responsiveness, accuracy, collaboration, and a strong customer experience
  • You’ll join a mission-driven organization where your organization, judgment, and follow-through will have a visible impact

We Encourage You to Apply

You may not check every preferred box, and that’s okay!

Experience in education is helpful, but strong candidates may also come from customer operations, healthcare administration, financial services, credentialing, workforce development, hospitality operations, or other environments where accuracy, deadlines, documentation, and customer communication matter.

However, this role does require strong attention to detail, organization, and comfort balancing customer-facing responsibilities with administrative and operational work. If your recent experience has primarily involved high-volume transactional customer service without ownership of follow-up, documentation, coordination, or operational processes, this may not be the right opportunity.

If you enjoy keeping things organized, solving problems, helping people navigate complicated processes, and making sure nothing falls through the cracks, we’d love to hear from you.

  1. Final Conversation and Decision

For some candidates, there may be a final conversation with an additional leader or stakeholder. Our Talent Acquisition team will keep you informed about next steps and timing throughout the process.

Our goal is to make the experience thoughtful, respectful, and transparent. We encourage you to ask questions throughout the process, we’re evaluating the opportunity together.
