Role

In the role of Customer Service Executive, we want you to contribute to ensuring the best possible service to our customers, in the most cost-effective way.

Responsibilities

  • Order management from start to finish. Including but not limited to: registration, monitoring, and billing in SAP.
  • Search and provide answers to our customers, through various communication channels and in a timely manner, to questions and requests regarding various topics such as; orders, deliveries, prices, invoices, certificates, etc.
  • Make sure that customers are continuously updated about their orders, and in case of delays or other discrepancies to their confirmed order.
  • Make sure that Incoterms, payment terms, prices, etc. are correct and according to customer contracts on our sales orders in SAP.
  • Ensure that complaints are correctly registered if/when administrative support from the sales organization is requested.
  • Supporting Caldery's financial service center to reduce overdue payments.
  • Ensuring the accuracy of sales prices in SAP.
  • Request the lowest transportation costs on request and ensure that these are passed on to the customer.
  • Ensure that inventory transactions are recorded correctly, and support with inventories when requested.
  • Actively participate in various activities and workshops linked to continuous improvement within the framework of customer service.
  • Administration linked to shipping customer orders.
  • Other tasks may be included depending on the local organization/needs.
  • Streamlining the procurement processes within entity Calderys Finland by ensuring that no payment will be done without a valid purchase order (PO).
  • Mandatory task to create POs & follow P2P process for all external spend.

Requirements

  • 2-5 years of previous experience from a similar administrative role.
  • Good IT and computer skills, as well as good knowledge of the Office package. Outlook and Excel in particular.
  • Previously worked in the ERP system SAP. Preferably linked to order placement and invoicing.
  • Knowledge of import/export procedures.
  • Very good knowledge of Finish and English, both spoken and written.
  • Excellent communication skills, both verbally and in writing.
  • Has a strong team spirit and easy to collaborate.
  • Good ability to structure and improve tasks/processes, and at time-critical occasions be able to prioritize among these.
  • Thrive in an environment that is constantly changing.

It is an advantage if you have:

  • Experience from the CRM system Salesforce
  • Additional language skills are an advantage as we operate in an international environment
