Job Goal
Provide administrative and organizational support to BCS Programming, Sales, Operations teams and College & Career Coaches.
Duties and Responsibilities
Assist with items including correspondence, reports, contracts, handouts, applications, spreadsheets, class or conference preparations, including but not limited to: creating class packets, assembling instructional materials, printing nametags, table tents, and/or proof of completion certificates, and helping with class check-in.
Assist with student registration into Modern Campus Lumens software and processing financial transactions including transferring, cancelling and refunding.
Answer and triage calls coming into Business and Community Solutions.
Assist with front desk receptionist duties, meeting and greeting customers and directing them to appropriate location/service at the Town Clock Center, Dubuque Center, and NECAS on the Peosta Campus as needed.
Assist with maintenance of general Business and Community Solutions program and instructor files.
Data entry and processing of class attendance, grades, class evaluations and student profile development.
Qualifications
EDUCATION AND EXPERIENCE REQUIREMENTS Associates Degree preferred, related work experience and/or post-secondary education preferred.
CERTIFICATIONS AND LICENSES
Must possess a valid driver’s license.
Must possess strong computer/database management skills including accounting/ bookkeeping practices. Calculating, posting and verifying financial data for using in managing account records. Advanced level of proficiency in Microsoft Excel, Word, and PowerPoint. Must possess excellent interpersonal skills, customer service, and organizational abilities. Must have strong written and oral communication skills and competent proofreading skills. Must possess strong knowledge of office practices and procedures. Must have the ability to maintain confidentiality with student/employee demographic information.
Essential Functions
Build Proposals, contracts, and classes for CPR programming into the Modern Campus Lumens Software.
Assist with oversight program inventory including textbooks, binders, health equipment and supplies.
Pack and organize equipment and supplies for Open Enrollment/ Contracted Training classes and process post class paperwork
Assist Instructors with technology in the classrooms by prepping classroom equipment on site and providing instructor troubleshooting support and resources, when necessary.
Pack and organize the deliveries for contracted classes.
Assist team with print shop requests, when necessary.
Assist with the Tri-State Emergency Responder conference by gathering supplies, name tags, and sponsor lists and providing onsite registration assistance during the conference.
Assist with Kids on Campus by gathering supplies, preparing name tags, labeling t-shirts and tote bags, and helping with set up and clean up. Providing onsite student supervision during the camp week.
Provide direct administrative support to the Program Developers, Operations Program Managers and College and Career Coaches.
Back up support for daily deposits and financial reporting.
Participate in Customer Service Assistant team meetings, divisional meetings and other college or departmental committees as assigned.
Maintain high quality Customer Service to students, companies, customers, and co-workers by participating in professional development training and opportunities.
Support the Strategic Planning Team by providing administrative support including note taking during meetings, calendar invitations and meeting scheduling, report generation, follow up calls to partnering agencies and students, etc.
