Job Description
Applies knowledge of curriculum, program requirements, and educational activities to coordinate residency education programming and program-wide curricular activities for the Department of Anesthesia and Perioperative Care. Coordinates and maintains program operations related to didactic scheduling, faculty development activities, and major educational events, including the Anesthesia Education Day (AED) series, graduation, and annual class retreats.
Maintains a program-wide view of resident educational activities and curriculum scheduling to identify sequencing, timing, and scheduling considerations and provide guidance to program leadership. Serves as the primary scheduling contact for the PRIMER CA-1 curriculum each summer, coordinating educational activities and schedules across participating faculty, residents, and program stakeholders.
Department Overview
The Department of Anesthesia and Perioperative Care ranks as one of the largest departments in the School of Medicine, with an annual budget of $207 million. The three largest components of the annual revenue budget are Funds Flow Revenue, the affiliation agreement with the city and county of San Francisco, and Extramural Funds, which together represent 85.2% or $171 million. As of 2026, the department has over 200 Faculty members, 27 Staff Physicians, 200 Staff Employees, 6 Fellows, 90 Residents, 17 Non-Faculty Academics, 13 Post Docs, and 8 Nurse Practitioners. The department also works closely with 68 Certified Registered Nurse Anesthetists (CRNAs).
In addition to the Moffitt-Long Hospital, very active units of the department exist at the Zuckerberg San Francisco General Hospital (ZSFG) (inpatient and outpatient, including an active trauma service); San Francisco Veterans Affairs Medical Center (inpatient and outpatient); Mount Zion Medical Center (outpatient, including 23 hour stays); Benioff Children's Hospital Oakland; the UCSF Orthopedic Institute; the Benioff Children's, Betty Irene Moore Women's and Bakar Cancer (NIH-designated Cancer Center) Hospitals; and the Bayfront Medical Building (outpatient, Center for Pain Medicine) in the Mission Bay neighborhood.
The Department now has essential roles in patient care outside of the operating rooms, with active participation in Ambulatory Care, Acute and Chronic Pain, and in the Preoperative Clinic. Since 1958, the department has been at the heart of modern anesthesia’s explosive growth, and to this day continues to have an enormous impact on surgical practice and the management of pain. The department’s research, education, and clinical care earned and have maintained reputations equal to or better than that of any institution in the world. Individual members of our faculty have had a major influence on our specialty both nationally and internationally, including NIH study sections, NIH funding, and FDA and Editorial Boards. Research activities within the department are integrated with and inform clinical practice. For many years, ours has been among the top departments in the United States for NIH research funding in anesthesia.

Event & Program Logistics
- Plans, executes the logistics, and monitors budgets for program social events and / or educational activities, which include but are not limited to: recruitment; orientation; graduation; resident wellbeing activities; conferences; and simulation and / or other assessment activities. May lead workshops and/or information sessions for learners, faculty, and staff.
- Reserves and coordinates classroom and meeting space for AED sessions and other lecture, workshop, and simulation events.
- Plans and executes the department’s annual resident graduation and the annual Intern, CA-1, and CA-2 class retreats, and coordinating logistics, communications, schedules, resident wellbeing activities Leads the UCSF Anesthesia Passport Recruitment Program, including the Ambassador Program, online resident recruitment social hours, special interest group (SIG) nights, the open house, second looks, and other recruitment activities to recruit incoming residents.

Anesthesia Education Day (AED) Series Coordination
- Works with program managers and / or faculty to meet the educational needs of program learners through collaborative development and implementation of programmatic activities, which may include program competencies, curriculum, and exams.
- Schedules faculty for the twice-monthly AED series, run separately for each resident cohort (CA-1, CA-2, CA-3) so that all residents are covered across the two sessions.
- Ensures faculty scheduled for sessions are free from clinical work and works with the clinical schedulers to ensure OR coverage.
- Reviews session content with the faculty curriculum director in advance of each series, and monitors program delivery to ensure consistency and educational quality across both days.

Advisor/Mentor Program Administration
- Administers the resident advisor/mentor program for all residents, ensuring meetings are scheduled and occurring on a regular basis. Proactively follows up with advisors and advisees to ensure program expectations and meeting goals are met, and escalates unresolved issues to program leadership for appropriate action.
- Serves as point person for learners, which may include prospective health professions education program candidates; current health professions education learners; and all other stakeholders. Answers questions and disseminates program information. Resolves ad hoc issues relative to program learners. Advises learners on planning, initiation, and completion of their studies. Communicates clinical learning opportunities and curriculum requirements and effectively communicates information about learners' program choices.

- Serves as the primary contact for scheduling all lectures, workshops, and simulation sessions for the PRIMER CA-1 curriculum, delivered each summer to incoming CA-1 residents.

Resident Records & Case Log Management
- Manages program files and data, which may include individual learner files as well as program accreditation documentation in accordance with relevant regulatory and University policies. Creates reports to ensure accuracy and completeness of data.
- Tracks and updates the content of residents' electronic files to ensure documentation is current and complete.
- Monitors and tracks resident caselog data for compliance with program and ACGME requirements, and manages appointment paperwork for the program.

- Monitors learner files as well as program documentation and policy to ensure compliance with established and evolving standards. Develops and maintains program processes for documentation to meet regulatory requirements.
- Manages the end-to-end process for our visiting observership program, including reviewing applications, acceptance, registration, and enrollment processes to ensure compliance with departmental, UC Health, School of Medicine, and University policies and procedures.
- Reviews and verifies eligibility and required documentation (e.g., prerequisites, health insurance, malpractice insurance, HIPAA) and ensures compliance with applicable rules and regulations.
- Oversees acceptance of visiting observers into the program and manages the registration and enrollment process.
- Advises program directors, faculty, and administrators visiting observer policies, eligibility requirements, responsibilities, and compliance standards to support consistent application of program requirements

Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training.
- A minimum of three (3) years of related experience.
- Thorough knowledge of relevant policies and regulatory requirements. Solid knowledge of graduate medical education/residency program requirements. Thorough knowledge of the medical education industry.
- Thorough knowledge of curriculum development and instructional design principles; demonstrated ability to evaluate curriculum content and advise on sequencing and timing across a multi-year training program.
- Demonstrated experience planning and executing large-scale educational events (e.g., retreats, graduation, conferences, career/job fairs), including space reservations, logistics, and vendor/speaker coordination.
- Demonstrated experience and documented excellence in oral and written communications skills; ability to work effectively and diplomatically with faculty, program leadership, and residents.
- Strong interpersonal and relationship-management skills; ability to support and monitor advising/mentoring relationships and hold stakeholders accountable to program goals.
- Excellent organizational skills, analytical ability, and demonstrated attention to detail; ability to manage multiple concurrent scheduling and logistics projects and meet competing deadlines.
Preferred Qualifications
- Master's degree in related area.
- Experience with, or demonstrated ability to quickly learn, scheduling and educational program software and platforms.
