A bit about us

We’re Hyve - organiser of the world’s fastest-growing and most forward-thinking B2B events. As the chosen event partner to many of the world’s leading companies, our platforms play a critical role in their strategies - helping them enter new markets, accelerate growth and connect with the people who matter most.

Our portfolio features some of the world’s leading events in sectors like ecommerce, healthcare, edtech, and fintech. We’re growing fast with an entrepreneurial culture that empowers big ideas and quick action, plus an ambitious acquisition strategy bringing exciting new events into our mix.

Alongside our market-leading events, we’re building tech and data-driven products that supercharge connections – from one-to-one meeting programs and curated table talks to year-round engagement platforms.

Whatever your role, you’ll join a global team redefining how industries connect, collaborate, and grow – working with some of the most talented people in the business.

Think that sounds good? Wait until our talent acquisition team tells you about the culture.

A bit about you

First things first: whatever your background, beliefs or ambitions, there’s a culture of belonging at Hyve — and everyone is welcome. The question isn’t where you’ve come from, but where you want to go.

You’ll thrive here if you’re curious, collaborative and not afraid to challenge convention. We look for people who take pride in what they do, who are excited by change and always moving forward. The kind of people who stay open, keep learning, and look for better ways to make an impact.

Our shared behaviours guide how we work: we dare to do things differently, own our work, embrace collaboration, stay true to ourselves and others, and remember that optimism wins.

If that sounds like you, you’ll fit right in.

About the role

Hyve is looking for a highly organised, proactive and confident Creative Planner to join the Creative team, planning and coordinating creative delivery across the NNG portfolio of national and international events.

This is not a traditional traffic role. You will sit at the intersection of traffic and project management: equally adept at managing day-to-day resource and requester satisfaction as at building the workflow frameworks and forward-planning structures that keep the team ahead of the curve. Reporting to the Head of Creative, you will work closely with a team of designers and copywriters and with senior stakeholders.

You remain calm under pressure when timings are tight, are comfortable balancing multiple overlapping deadlines, and have the confidence to push back when needed to protect quality and delivery.

Key responsibilities

Traffic and resource management

  • Act as the single point of coordination for creative requests across the NNG events portfolio, receiving, triaging and prioritising incoming work and allocating it to the right designer, copywriter or freelancer.
  • Review briefs to make sure they are complete and clear before work starts, and chase outstanding briefs and approvals so the team can hit the ground running.
  • Understand the lead times for different design and copy formats and plan resource accordingly, spotting and resolving problems before they arise.
  • Take the lead on sourcing and briefing freelance support from our network when capacity is short, tracking freelance and outsourced spend.

Milestone and forward planning

  • Build and maintain forward-looking creative plans and milestone calendars across the portfolio, setting key delivery dates for design and copy ahead of each event cycle.
  • Map peak periods early, flagging resource pinch-points and capacity risks weeks in advance rather than when they hit the queue.
  • Break campaign and event briefs into clear milestones, owners and dependencies, and track progress against them.
  • Anticipate bottlenecks, overlapping deadlines and approval delays, and put mitigation plans in place before they affect delivery.

Priority meetings and capacity management

  • Own and lead regular priority meetings with the Creative team to review live work, check in on progress and blockers, and agree the week's priorities.
  • Review team capacity against workload each week, rebalancing work so the team is fully utilised without being overloaded.
  • Attend weekly check-in meetings with brand teams to stay across upcoming work, ensuring new projects are organised, assigned and briefed in.
  • Escalate conflicting priorities or capacity shortfalls to senior stakeholders, with clear options and recommendations.

Stakeholder management

  • Build strong relationships with senior stakeholders and requesters, managing expectations on timelines, scope and priorities.
  • Push back constructively on unrealistic timelines or late requests, offering alternatives that protect quality and delivery.
  • Develop a campaign-level understanding of objectives so that planning decisions support the outcomes each event needs.
  • Keep stakeholders informed with proactive updates, and gather feedback to improve requester satisfaction and NPS.

monday.com, process and reporting

  • Act as the team's monday.com champion, owning how the platform is set up and used to plan, track and manage all creative work, including boards, automations and workflows.
  • Create dashboards and regular reporting on workload, turnaround times, upcoming deadlines and resource utilisation for the Creative team and senior stakeholders.
  • Develop and continuously improve planning frameworks, templates and ways of working that help the team stay ahead of demand.
  • Coach the team and requesters on best practice to ensure briefs, updates and approvals are captured consistently.

Quality and brand

  • Check work in progress and final deliverables against the brief, brand guidelines and tone of voice, editing copy and giving feedback where needed so key messages are clear and touchpoints are consistent.
  • Work with the delivery teams to ensure marketing assets are produced and delivered in line with the campaign schedule and during the live event.

Skills and experience required

  • At least 3 years' experience in a creative traffic, studio management, project management or creative planning role, ideally within a fast-paced agency or in-house creative team.
  • Proven experience managing workflow, capacity and resource for a multi-person creative team of designers and copywriters across overlapping deadlines.
  • Good understanding of design and copy processes, lead times and the specific requirements of different marketing channels.
  • Experience building milestone plans, planning frameworks and workflows, and improving how a team works.
  • Experience managing senior stakeholders, including setting expectations and pushing back when required.
  • Strong working knowledge of monday.com (or a similar tool such as Asana or Workfront), including boards, automations, dashboards and reporting.
  • Experience working in medium to large organisations where the focus is on getting the job done to a consistently brilliant standard; events or marketing experience is a plus.
  • Working knowledge of Adobe Creative Suite and strong proofreading skills are desirable.

Key competencies required

  • Proactive and forward-thinking: plans ahead rather than reacts, and anticipates problems before they arise.
  • Hybrid thinker: equally comfortable running day-to-day operations and building the strategic structures that support them.
  • Confident communicator and influencer, able to build trust with senior stakeholders and have difficult conversations.
  • Calm decision-maker who can prioritise and trade off competing demands under pressure.
  • Exceptionally organised, with meticulous attention to detail.
  • Data-led, using capacity and performance reporting to inform decisions.
  • Collaborative, adaptable and flexible, comfortable dealing with ambiguity.
  • A good eye for creative quality, with a genuine interest in design and copy.
