Title: Independent Contractor – CPT-11352 Business Support & Lead Management Virtual Assistant/Business Support VA/Entry-Junior Level(Remote).

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

A Texas-based residential and commercial glass company is seeking a Business Support & Lead Management Virtual Assistant to assist with customer follow-up, lead management, and day-to-day administrative support.

The immediate priority of this role is working through an existing pipeline of warm leads provided by one of the company's manufacturing partners. The Virtual Assistant will contact prospective customers, answer basic product questions, provide quotes when appropriate, schedule appointments, and document all activity within HubSpot.

As the existing lead pipeline is completed, the role will gradually transition into a broader back-office support position focused on administrative coordination, quote preparation, bid support, and other operational tasks as assigned. This position is expected to evolve as the business continues to grow.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Lead Management

• Contact warm leads provided by the company's manufacturing partners
• Follow up with prospective customers regarding their inquiries
• Answer basic product questions using provided resources and product information
• Schedule appointments and consultations when appropriate
• Maintain consistent follow-up with active prospects
• Update all lead activity within HubSpot
  
  Administrative Support
• Prepare and send quotes and estimates
• Assist with general administrative tasks and business documentation
• Maintain organized customer records
• Support daily operational workflows
• Complete additional administrative projects as assigned
  
  CRM Management
• Maintain accurate customer records in HubSpot
• Update lead statuses and communication notes
• Track customer interactions and follow-up activities
• Keep sales opportunities organized and current
  
  Future Growth Responsibilities
  
• Assist with commercial bid administration and online bid submissions
• Support incoming website inquiries
• Coordinate customer follow-up throughout the sales process
• Assist with additional operational and business support functions as the company grows

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

• Previous customer service, client relations, or appointment-setting experience required
• Administrative or executive support experience required
• CRM experience required
• HubSpot experience preferred
• Strong verbal and written English communication skills
• Comfortable learning technical product information
• Experience preparing quotes or estimates is a plus
• Construction, home services, or building products experience preferred but not required

Work Schedule

• Daily Working Time: Approximately 8:00/9:00 AM – 1:00 PM CST

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

• Contractors will operate under a Master Services Agreement and a Statement of Work
• This is not an offer of employment; contractors are not employees of 20four7VA or any client
• All compensation is processed through 20four7VA according to the terms of the engagement
