Administrative Executive Assistant

Tribal Council Support Staff

Hourly Wage: $23.30/Regular/Full-Time

The Administrative Executive Assistant is responsible to provide high level of administrative support to the Yakama Nation Tribal Council Elected Officials. Functioning as the principle administrative support person of the Yakama Tribal Council Office. Responsibilities may include screening calls, scheduling & organizing meetings and travel arrangements, preparing reports, preparing PowerPoint presentations, customer relations, excellent interpersonal skills, also calls for flexibility, project coordination, strong computer skills, ability to work well with all levels of internal management and staff, as well as outside agencies. Acts as custodian of Tribal Council documents and performs other administrative and clerical duties as assigned by Tribal Council Elected Officials.

Examples of Work Performed:

Perform a variety of Executive Administrative Assistant duties as required by daily operations of the Tribal Council Elected Officials office.

Coordinate office activities and schedules, develop office procedures and systems, and ensure smooth office operations.

Creates formats, types memos, forms and reports including confidential and technical documents.

Ability to create and process Tribal Council documents, such as Committee Actions and Resolutions.

Maintain Tribal Council Elected Officials calendars, arrange in person meetings and virtual meetings.

Greet and assist Yakama Nation members, general public, State/Federal Officials and Yakama Nation programs or any other person or persons and determine which Tribal Council Elected Official they need.

Receive, review and distribute incoming mail/email.

Provide support to both Tribal Council Elected Officials, support staff, file, and retrieve documents, records and reports.

May be assigned new projects and tasks not included in this description, or to assist other Tribal Council staff as requested by supervisor ensuring the efficient and effective functioning of the work unit.

Due to unique demands of this position, non-traditional work hours may be required.

Abide by Yakama Nation Rules and Regulations.

Knowledge, Skills and Abilities:

Knowledge of Yakama Nation Treaty of 1855.

Knowledge of Yakama Nation governmental policies, procedures and practices applicable to Tribal Council office functions.

Knowledge of and the ability to be sensitive to the traditions and customs of the Yakama Nation.

Knowledge and proficiency in computer use and Microsoft programs.

Ability to excel under pressure and maintain a positive attitude under stressful situations.

Ability to communicate effectively both orally and in writing.

Ability to demonstrate a high degree of personal integrity and be able to maintain strict confidentiality.

Ability to work independently and be self-motivated.

Ability to maintain programs and public's trust, confidentiality and professionalism.

Maintain punctuality and attendance expectations.

Meet the public and address issues and complaints tactfully, courteously and effectively.

Establish and maintain effective working relationships with other department staff, supervisors/managers, elected officials, public and outside agencies.

Must be highly creative and energetic.

Minimum Requirements:

Three years of experience as an Executive Secretary/Administrative Assistant.

Must maintain strict confidentiality and required to sign confidentiality agreement.

Must present a highly professional image and outstanding customer service.

Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.

Position is At-Will.

Enrolled Yakama Preference, but all qualified applicants are encouraged to apply.

Preferred Requirements:

Bachelor's Degree Business Administration or related field.

5 years of professional experience in executive/administrative role.

Meet requirements to become a notary public.
