Hennepin County District Court invites qualified applicants to apply for a Court Operations Associate position in the Centralized Records Center. This is a diverse, professional environment that promotes equity for all court staff and court users.This position is highly detail-oriented, provides expert knowledge of court policies and procedures for all court divisions and involves advanced court operations and case processing work.

This is an entry-level position in a diverse, professional environment that promotes equity for all court staff and courts users.Court Operations Associates complete detail-oriented work on a variety of cases from multiple divisions while providing excellent customer service and copies of court records to members of the public and other court staff.This position assists court customers at the public service counter and answers routine phone calls and Live Help Now chats regarding the records request procedure and status updates of submitted requests.

This AFSCME-represented position is classified as a Court Operations Associate, with the same working title.The Centralized Records Center is located on the Skyway Level (A-260) of the Hennepin County Government Center at 300 South 6th Street, Minneapolis, MN 55487.Hours for this position are 8:00 a.m. – 4:30 p.m., Monday – Friday.This position is a combination of working onsite with occasional flexibility to work remotely based on assignments and business needs.A reliable internet connection is required when working remotely.

There are multiple options for public transportation, including discounted transit passes that include light rail lines and bus routes, and an optional transit expense account.

Example of Duties:

The following are examples of major job duties expected for this position to be performed:

  • Provide excellent customer service by assisting and communicating with court users and court staff in a professional, courteous, and respectful manner to ensure the customer’s needs are effectively met over the phone, on-line Live Help Now chat, through electronic means, and at the front counter, by processing records requests for all case types and locating information requests responding verbally and written.
  • Accurately complete administrative work utilizing multiple court technology systems and available resources to complete data entry in all case types, process financial transactions, maintain daily statistics, and ensure appropriate customer access by adhering to Court Administrative Processes (CAPS) and standards.

Typical Qualifications:

Below are the past experiences that will enable success in the role.For education requirements listed, the equivalent number of years of related experience may serve as a substitute.

Minimum Education and Experience:

  • High school diploma or equivalent
  • At least one (1) year of relevant job experience, which may include but is not limited to customer service administrative work, office and clerical work.(For example: bank teller, cashier, court clerk, legal assistant, medical billing specialist).
    • Or equivalent education and experience

Minimum Knowledge, Skills, and Abilities:

  • Ability to multi-task, work well under pressure, and work in a high- volume, fast-paced work environment.
  • Ability to build and maintain effective, professional relationships with the public, stakeholders, and court staff while demonstrating strong communication and interpersonal skills
  • Ability to understand and explain instructions, policies, statutes, rules, procedures, and systems to the general public.
  • Ability to communicate effectively verbally and in writing with attorneys, probation, court staff, judicial officers, and the general public.
  • Reliable, with the ability to meet commitments and keep work projects on task.
  • Ability to comply with data privacy laws and maintain confidential information.
  • Ability to provide a level of customer service that meets/exceeds customer expectation and satisfaction.
  • Ability to work in an inclusive, multicultural environment that values diversity and relationships and professionally exhibit cultural sensitivity, patience, and understanding in the course of work duties.

Preferred Qualifications:

  • Two or more years of experience providing exceptional customer service in a high- volume, fast-paced environment
  • Experience with high-volume data entry
  • Knowledge and working experience with a case processing system such as MNCIS (Minnesota Court Information System)
  • Detail oriented with the ability to continuously learn and retain new material, concepts and ongoing procedural changes

Supplemental Information

The expected starting salary for external candidates is $23.50 - $28.45 per hour, $49,068 - $59,403.60 annually. The offer will take into consideration other equivalent qualifications. The full classification earning potential is $21.45 - $35.44 per hour, $44,787.6 - $73,998.72 annually, with the top end of the range being what someone could be making after years of service in the role of Court Operations Associate.

This position is non-exempt under the Fair Labor Standards Act and is eligible for State of Minnesota employee benefits

This AFSCME-represented position is posted for bidding, internal, and external application simultaneously and will be filled in accordance with the AFSCME contract.
