Job Description

The Tenth Judicial District, which includes eight counties in the Northern Suburbs of the Twin Cities Metro Area, is seeking qualified applicants for a full-time Court Operations Associate to join the Anoka County Court Administration team in Anoka, MN.

This is an exciting opportunity to play a direct role in the day-to-day operation of the court. Court Operations Associates in the Assignments Division work closely with judges, court staff, attorneys, justice partners, and members of the public to coordinate court proceedings and ensure cases move forward efficiently.

In this role, you will balance competing priorities in a fast-paced environment while managing court calendars, preparing and processing case documents, supporting live courtroom proceedings, responding to questions from court users, and ensuring accurate and timely case information. No two days are exactly alike, and the work requires strong organization, sound judgment, attention to detail, and the ability to adapt quickly when courtroom schedules and case needs change.

WHAT YOU WILL DO

The Court Operations Associate performs a variety of administrative, courtroom, and customer service functions to support efficient court operations. Core responsibilities include:

  • Coordinate daily court activity by maintaining court calendars, scheduling hearings, coordinating dates with attorneys and parties, sending required notices, and processing routine orders.
  • Support judges and courtrooms during live proceedings by calling cases, recording court minutes, processing and tracking exhibits, organizing courtroom documents, and communicating with courtroom staff and justice partners.
  • Manage and process court cases by entering and updating information in MNCIS and other court systems, preparing and processing legal documents, scanning and indexing filings, and ensuring case records are accurate and complete.
  • Keep cases moving forward by monitoring deadlines, reviewing case activity, identifying items that require follow-up, and taking appropriate action to ensure timely case processing.
  • Serve as a key point of contact for court users by assisting attorneys, self-represented litigants, judges, justice partners, and members of the public in person, by telephone, and electronically. This includes explaining court processes and directing individuals to appropriate resources while remaining within the scope of the court's role.
  • Respond to changing priorities throughout the day. Court schedules, hearings, judicial needs, and customer needs can change quickly. You will use sound judgment to prioritize work, communicate changes, and adjust your workflow while maintaining accuracy and professionalism.
  • Use independent judgment to prioritize competing court-related tasks, identify issues requiring follow-up, determine appropriate next steps within established procedures, and seek assistance or escalate matters when necessary.
  • Work with a variety of case types and court processes, which may include criminal, juvenile, traffic, civil, family, probate, conciliation court, and jury matters.
  • Use a variety of technology and court systems including MNCIS, eFS, Microsoft Office, SharePoint, electronic document and workflow tools, and courtroom technology.
  • Operate and monitor courtroom recording technology when assigned, including serving as an Electronic Recording Equipment Operator (EREO).
  • Protect confidential information and handle sensitive court records and information in accordance with court rules, policies, and applicable law.
  • Work as part of a highly collaborative team by cross-training with coworkers, sharing information, participating in team meetings, and staying current on court procedures, technology, and policy changes.
  • Spend approximately 70% of your time in the courtroom. Serve as the primary court administration presence in the courtroom, with remaining time dedicated to meetings, training, scheduling, and other administrative responsibilities.
  • Manage courtroom scheduling for one or more District Court Judges. Coordinate and maintain the Judge’s courtroom calendar, ensuring hearings and other proceedings are scheduled accurately and efficiently.
  • Other duties as assigned

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent
  • One (1) year of relevant job experience or greater, which may include but is not limited to customer service, administrative work, office, and clerical work

NICE TO HAVE

  • Proficient in Microsoft office Suite, with the ability to learn other job-related software
  • Certificate or degree in a related field
  • Basic knowledge of court procedures, policies, and records management
  • Experience with electronic document applications, workflow queues and web-based video and audio platforms

  • Ability to learn and apply rules of court, state statutes, case processing procedures, and local court policies.
  • Skill in navigating challenging situations and resolving conflicts in a respectful, professional, and courteous manner.
  • Strong communication skills, both oral and written, with the ability to convey information clearly to a variety of audiences.
  • Ability to provide exceptional customer service while working under pressure in a high-volume, fast-paced environment.
  • Proficiency in using a personal computer, including electronic case management systems, Microsoft Office, and other court-related applications and equipment.
  • Ability to establish and maintain effective working relationships with coworkers, judicial officers, justice partners, and the public.
  • Ability to support and communicate effectively with court users, including those with limited familiarity with the judicial system
  • Demonstrated ability to handle sensitive and confidential matters appropriately and in compliance with applicable court rules, policies, and laws.
  • Strong organizational skills with attention to detail and the ability to analyze information accurately.

SUPPLEMENTAL INFORMATION

  • This AFSCME-represented position is located in the Anoka County Courthouse at 2100 3rd Ave. Anoka, MN 55303
  • Work is performed primarily in an office-setting, a public counter and/or in a courtroom.
  • The expected hiring range for external hires for this position is $22.50 to $28.45/hr, based on qualifications, with a full future earning potential of $59,403 - $73,99 annually.
  • This position is non-exempt under the Fair Labor Standards Act.
  • Core business hours are Monday - Friday, 8:00am-4:30pm. Initial days off: Saturday, Sunday, and Court Designated Holidays.
