About the role

We are seeking a Counseling Officer to support Fulbright’s undergraduate admissions team through a combination of sales counseling, data and administrative support, and event logistics coordination. This role plays a key part in strengthening the team’s day-to-day capacity — backing up lead outreach, keeping admissions data accurate and organized, and ensuring admissions events run smoothly.

This role is expected to work collaboratively with colleagues on the admissions and financial support team, as well as colleagues from other teams such as recruitment, communications, and academics.

Roles and Responsibilities

The roles and responsibilities of the Counseling Officer include but is not limited to:

  1. Sales & Admissions Counseling
  • Support the counseling team by placing follow-up calls to qualified leads during periods of high volume or capacity gaps, ensuring timely and consistent outreach across the admissions funnel (Raw Lead through Deposit App).
  • Consult on Fulbright and its programs, entry requirements, and admissions processes for prospective students and parents, guiding them toward opening and completing their application files.
  • Accurately update and maintain lead and applicant status in the CRM system at each stage of the admissions funnel, ensuring data supports the wider team’s follow-up and conversion efforts.
  • Coordinate with the assigned Counseling Officer for each lead to ensure a smooth handover and consistent messaging throughout the student’s journey.
  1. Data, Admin & Presale Support
  • Process, clean, and maintain lead and applicant data across the CRM (Salesforce) system, ensuring accuracy, completeness, and timely status updates throughout the admissions funnel.
  • Handle presale administrative tasks such as verifying and segmenting lead lists, checking contact information, and preparing outreach lists to support the counseling team’s daily workflows.
  • Prepare regular reports and dashboards on lead status, data quality, and admin workflows to support team tracking and decision-making.
  • Support the counseling team with general administrative tasks, including document preparation, filing, and coordination of application-related paperwork.
  • Support the administrative of offline and online admissions events, including venue and materials arrangement, registration list management, and on-site coordination.
  • Coordinate with internal teams and external vendors as needed to ensure smooth event set-up, execution, and tear-down.
  • Assist with post-event administrative tasks, including compiling attendee data, updating lead records, and supporting the team’s post-event follow-up efforts.

As a member of the Admissions and Financial Support team, the Counseling Officer will support the team and the mission of Fulbright, not only through their own work contributions, but through supporting other teams as needed.

Other duties:

Contributing to team effort by welcoming new and different work requirements; exploring new opportunities to enhance the services of the department; helping others accomplish related job results as and where needed; and perform other duties as assigned.

Qualifications

What we look for

  • Education: Bachelor’s degree in any discipline with passion for education.
  • Experience: Above 2 years of experience in a similar role is preferable but not required.
  • Knowledge, Skills and Abilities:

o Strong alignment with Fulbright’s mission and a passion for working with students

o Excellent Vietnamese and English communication skills (both verbal and written), especially the ability to communicate effectively with students and families

o Ability to learn about students holistically and assess them fairly, using a variety of traditional and innovative assessment methods

o Willingness to travel extensively and to collaboratively and flexibly

o Strong organizational skills and attention to detail, with the ability to manage data accuracy and multiple administrative tasks simultaneously

o Comfortable working with CRM systems and basic data tools (e.g., spreadsheets) to track, update, and report on information accurately

o Ability to work flexibly across sales, administrative, and event-support tasks, adapting priorities as team needs evolve
