The Washington Corrections Center (WCC) within the Washington State Department of Corrections (DOC) is seeking a detail oriented and committed individual to join the Records Unit as a Correctional Records Technician (CRT)! The goal of a Corrections Records Technician is to be a custodian of incarcerated individuals records while supporting the Records Unit.

As a Correctional Records Technician (CRT), you will independently perform correctional records technical tasks and sentencing structure duties within a correctional records office. The Correctional Records Technician (CRT) processes, verifies, and maintains incarcerated individual sentence structure and criminal history record information provided by criminal justice agencies within incarcerated individual management database system in a collaborative effort to improve public safety.

This position will primarily be responsible for verifying incarcerated individuals release dates and preparing their file for transfer or release; however, you will also provide back-up support to all other CRT positions within the Records office. Washington Corrections Center is located 35 miles west of Olympia, the state capital. WCC is the Reception and Diagnostic Center, a close-custody facility with the primary responsibility to process, test, and classify all adult male felons sentenced to prison in Washington State. The facility has seven living units and houses 1,700 incarcerated individuals. There are about500 incarcerated individuals screened and assessed each month. WCC is also the major hub for transfer of incarcerated individuals to and from facilities throughout the state.

As a Correctional Records Technician, some of your duties will include:

• Preparing incarcerated individuals file for transfer to Training Center/Parent Facility or release:
  • Audit judgment & sentences and other court documents to verify the court’s accuracy in sentencing incarcerated individuals per applicable RCWs and legislative changes.
  • Correspond with appropriate court or other legal staff to resolve sentence discrepancies or other issues related to the structure of the incarcerated individuals’ sentence.
  • Audit sentence structure for accuracy to verify earliest release date.
  • Verify jail credits as ordered by the court or as certified by the county jail. Calculate good time jail credits as applicable per RCW.
  • Maintain upcoming release list.
  • Complete entire release process for all incarcerated individuals being released from WCC.
  • Prepare all release documents, explain the Order of Release and any reporting instructions to the incarcerated individual. Witness incarcerated individuals’ signature on documents.
  • Understand and explain applicable RCWs, Washington Administrative Code (WAC), agency policies and records processes.
  • Maintain confidentiality of information protected by agency policy, federal or state laws.
  • Respond to Kites and KIOSKS per DOC Policy.
• Serving as Records Public Disclosure Officer
• Processing Warrants and Detainers for all admissions and readmissions to the Washington Corrections Center (WCC)
• Processing all incoming individuals sentenced to incarceration to Department of Corrections (DOC)
• Performing other duties and assignments as required

Qualifications

What we need (required qualifications):

• High school diploma or equivalent.
• Intermediate MS Office skills, especially with MS Word, MS Excel and MS Outlook.
• The ability to communicate effectively both orally and in writing.

What will make your application stand out (preferred qualifications):

• Two (2) years’ experience maintaining or processing incarcerated individual files such as legal files, property files, grievance files, administrative files, medical files, parole files, or counselor or custody files in governmental law enforcement office, court setting, or an adult or juvenile correctional agency.
• College level coursework in criminal justice, business administration, accounting, social science, or a related field.
• Knowledge of criminal history document processing

Special Requirements/Conditions of Employment

• Must obtain certification in ACCESS within six (6) months of employment and maintain current certification when applicable.
• Must be able to satisfactorily complete the WCC Correctional Records Technician Skills Assessment.

Telework Details

This position may be allocated for telework. If authorized for the role, work may be performed from your home or another offsite location within the state of Washington using a reliable internet or cellular hotspot service at that time. Employees are expected to perform assigned duties in a safe manner, to take proper care all state-issued equipment, and maintain confidentiality of all information in possession while working offsite. Employees will be required to commute to a Department of Corrections facility or field office as business requires, to potentially include components of the onboarding process. Some offices will have a “drop in” area available, however, a dedicated workspace within a DOC facility will not be provided.
