Your new role

An exciting opportunity has arisen for a highly organised and proactive Corporate Real Estate & Facilities Operations Coordinator to join our UK Real Estate & Physical Security team. Based in London, with occasional UK travel, you'll play a key role in supporting the management of our property portfolio, facilities operations, physical security activities, fleet administration and energy management across multiple UK sites.

Working closely with the Head of Real Estate & Physical Security UK & North Europe, you'll act as a central point of coordination, ensuring critical operational activities, governance processes, reporting and compliance requirements are managed efficiently and accurately.

This role would suit someone who thrives in a fast-paced environment, enjoys bringing structure to complex operations, and takes pride in delivering excellent stakeholder support.

Some key responsibilities

  • Coordinate departmental priorities, governance activities and operational actions, supporting the Head of Real Estate & Physical Security.
  • Maintain property, lease, supplier, compliance and operational records across the UK portfolio.
  • Support facilities operations by monitoring service requests, coordinating supplier activities and managing approval workflows.
  • Produce and coordinate monthly reporting covering facilities, security, energy, fleet, budgets, risks and service performance.
  • Assist with facilities and property projects, including stakeholder communications, action tracking and mobilisation activities.
  • Support the integration of additional sites through effective coordination of operational, supplier and compliance information.
  • Maintain audit-ready records and support compliance activities across real estate, facilities and physical security functions.
  • Serve as a professional point of contact for stakeholders, landlords, suppliers and contractors, ensuring actions are followed through to completion.

About you

We're looking for a motivated and detail-oriented professional who can balance multiple priorities while maintaining a high standard of accuracy and customer service.

You will ideally have:

  • Previous experience within corporate real estate, facilities management, property administration or a similar multi-site operational coordination role.
  • Strong organisational skills with the ability to manage competing priorities and deadlines.
  • Experience maintaining reports, trackers, registers and document control systems.
  • Advanced proficiency in Microsoft Office, particularly Excel, Word, Outlook and PowerPoint.
  • Excellent communication skills and the confidence to engage with stakeholders at all levels.
  • High attention to detail, sound judgement and the ability to handle confidential information appropriately.
  • A proactive approach to problem solving and continuous improvement.

Experience with CAFM systems, SharePoint, SAP, energy reporting, fleet administration or physical security processes would be advantageous but is not essential.
