Your Opportunity

Stantec is seeking an experienced and detail-oriented Corporate Fleet Compliance Specialist to join our Fleet Management team. Reporting to the Corporate Fleet Manager, the successful individual will serve as the subject matter expert for commercial vehicle compliance across the United States and Canada.

This role is responsible for overseeing the company's commercial vehicle compliance program, including vehicle registrations, driver qualification requirements, licensing, inspection programs, electronic logging devices (ELDs), safety regulations, and ongoing compliance monitoring. The successful candidate will work closely with operational teams across North America to promote a culture of safety, minimize compliance risk, and ensure fleet operations meet all applicable regulatory requirements..

Your Key Responsibilities

  • Maintain an active inventory of commercial vehicles with assignments throughout North America.
  • Serve as the primary point of contact and trusted advisor for internal stakeholders regarding commercial vehicle compliance requirements, regulatory guidance, and the ongoing administration of Stantec's commercial vehicle compliance program.
  • Partner with internal clients to ensure the Stantec fleet vehicles meet all applicable licensing, registration, and regulatory requirements.
  • Perform frequent audits of the fleet inventory and its use to ensure no gaps exist in compliance.
  • Support internal clients in obtaining and maintaining compliance with commercial vehicle regulatory requirements, including IRP, IFTA, DOT, ELD, National Safety Code, FMCSA, Transport Canada, and applicable state and provincial regulations.
  • Support internal clients in meeting commercial driver regulatory requirements, including driver qualification files, medical certifications, licensing requirements, hours of service compliance, and related recordkeeping requirements.
  • Identify, report, and escalate commercial vehicle compliance issues and regulatory violations to Fleet Management.
  • Participate in the development and distribution of the company’s commercial vehicle program.
  • Assist in the development of commercial vehicle specifications for the procurement of fleet assets.
  • Participate in commercial fleet training sessions and contribute where necessary.
  • Assist with maintaining a shared fleet inbox and responding to internal client inquiries.
  • Provide internal client support as an integral fleet team member.
  • Coordinate and oversee commercial and light-duty fleet vehicle registration renewals, insurance certificates, apportioned registrations (IRP), fuel tax licensing (IFTA), permits, and other jurisdictional requirements throughout North America.
  • Support regulatory audits, investigations, inspections, and compliance reviews while maintaining accurate records and documentation.
  • Monitor changes to applicable transportation and commercial vehicle regulations and communicate impacts and requirements to stakeholders across the organization.

Your Capabilities and Credentials

  • Proven experience as a Corporate Fleet Coordinator or a related Fleet position with compliance responsibilities within an organization utilizing commercial vehicles to deliver services related to design, construction, rehabilitation, and/or maintenance works.
  • Solid understanding of commercial vehicles, relevant laws, and regulations governing throughout North America.
  • Experience working with telematics systems, dual-facing camera technology, electronic logging devices (ELDs), and fleet management software platforms.
  • Strong understanding of commercial vehicle classifications and licensing requirements throughout North America
  • Strong understanding of vehicle classifications and weight ratings, including GVWR, GCWR, axle weight ratings, and licensing thresholds.
  • A passion working with Fleet vehicles and equipment.
  • Demonstrated ability in planning and handling multiple tasks with efficiency.
  • Strong communication skills and a collaborative team approach.
  • Integrity and professional ethics.

Preferred Qualifications

  • Experience administering DOT, FMCSA, NSC, IRP, IFTA, ELD, and commercial vehicle inspection programs.
  • Experience conducting compliance audits and regulatory reviews.
  • Experience working with telematics platforms and fleet management systems.
  • Experience supporting geographically dispersed operations throughout North America.
  • Working knowledge of commercial driver qualification requirements, driver files, medical certification requirements, hours of service regulations, and licensing standards throughout North America.

Education and Experience

  • Related post-secondary education, transportation compliance training, or equivalent industry experience.
  • At least 5 years’ experience directly related to commercial vehicles.

Typical office environment working with computers and remaining sedentary for long periods of time.
