Job Description

Purpose and Job Summary:
As the Corporate Events Coordinator, you will play a key role in helping to coordinate the planning, execution, and evaluation of Lument’s client events and industry conferences. As a member of the Marketing & Communications team, this role focuses on industry conferences, client events, promotional items, and memberships. This position reports to the Director of Corporate Events and partners closely with other Marketing & Communications team members and production teams across the organization.

The ideal candidate is highly organized with exceptional attention to detail and a proactive, customer-focused mindset. They will be responsible for managing vendors, coordinating event logistics, maintaining project timelines, and supporting the successful execution of events and related marketing initiatives. Familiarity with commercial real estate and financial services or other business-to-business sectors is a strong plus.

Essential Duties and Responsibilities:

Industry Conferences & Client Events

  • Manage exhibit logistics, shipping, inventory, and promotional materials for regional and state-level industry events; support national-level events.
  • Assist with the management of event timelines, budgets, and deliverables to ensure successful execution.
  • Serve as the primary point of contact for vendors, venues, and event organizers.
  • Coordinate event registration, attendee communications, on-site logistics, and post-event follow-up activities.
  • Track event details and performance metrics, including qualitative feedback from clients and sales teams.
  • Assist with data collection, ROI measurement, and post-event reporting.
  • Support venue research, vendor sourcing, and logistics coordination for client events.
  • Maintain detailed project plans, event calendars, budgets, and tracking documents to ensure deadlines are met and stakeholders remain informed.


Promotional Items & Company Store

  • Manage promotional and display item inventory, distribution, and fulfillment.
  • Oversee the company store, including inventory management, product recommendations, order approvals, and vendor relationships.
  • Coordinate sourcing and distribution of client gifts and branded merchandise.


Industry Memberships

  • Manage industry association memberships and sponsorship deliverables to maximize value.
  • Process invoices and track membership and sponsorship budgets.
  • Maintain membership records, benefits, and renewal schedules.


Other

  • Manage legal and compliance approval submissions as necessary.
  • Update website and intranet content as needed.
  • Support webinar and webcast logistics, social media promotion of events, and other marketing initiatives.
  • Perform other duties and special projects as assigned.


Education, Skills and Experience:
Required

  • Bachelor's degree in Marketing, Communications, Hospitality, Business, Event Management, or related field, and/or 3-5 years of relevant professional experience.
  • Experience supporting the planning and execution of in-person, virtual, and hybrid events.
  • Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Teams.
  • Strong written, verbal, and interpersonal communication skills.
  • Highly organized with the ability to manage multiple projects, deadlines, and stakeholders simultaneously.
  • Strong attention to detail and problem-solving skills.
  • Experience coordinating vendors, venues, and event logistics.
  • Ability to travel 10-15%, including occasional evenings and weekends.

Preferred

  • Experience in a fast-paced corporate or professional services environment.
  • Experience with event management, email invitation, and CRM platforms (e.g., Greenvelope, HubSpot, Cvent, Salesforce).
  • Familiarity with project management and collaboration tools (e.g., Smartsheet, Microsoft Teams, SharePoint).
  • Experience tracking event budgets and reporting on event performance metrics.
  • Experience updating website and intranet content through platforms such as WordPress or SharePoint.
