Job Summary/Basic Function:
Core Administrator: Serves as the central core liaison leading a university-wide and statewide research program, strategic initiatives, and cross-institutional collaborations.
Level Scope:
Recognized subject matter expert who knows how to apply theory and put it into practice with in-depth understanding of the professional field with limited oversight from managers. Independently performs the full range of responsibilities within the function; requires deep job knowledge of areas typically obtained through higher education combined with experience. Manages large projects or processes and problems faced are difficult and often complex; analyzes problems/issues of diverse scope and determines solutions. May manage programs that include formulating strategies and administering policies, processes, and resources; functions with a high degree of autonomy. Influences others regarding policies, practices and procedures.
Essential Functions:
60% of Time the Core Administrator will:
- Manage and oversee processes related to the development and ongoing revisions of research related initiatives.
- Contribute to institutional change by supporting continuous improvement action planning, assessment, and modifications.
- Conduct research and summarize data to inform decision making, evaluate program effectiveness or alternatives, and to inform program development.
- Coordinate integration of projects and track workflow to monitor progress.
- Establish timelines and communications with appropriate units and coordinate logistics.
- Review and resolve complex issues and concerns.
35% of Time the Core Administrator will:
- Provide operational oversight for five key cores: Administrative Core (AC), Professional Development (PD), Community Engagement and Outreach (CEO), Health Research (HR), and Research Design, Compliance, and Data Management (RDCD).
- Allocate effort across all cores to ensure coordinated activities and a seamless, “one-stop” support experience for investigators.
- Apply expertise in NIH Grants Policy Statement requirements to oversee compliance, reporting, and execution of grant-funded services.
- Collaborate closely with the Administrative Director, Clinical Director, Program Administrator, and Core Leads to achieve program milestones and align operations.
- Utilize project management methodologies and technology tools to track deliverables, coordinate workflows, and facilitate communication among stakeholders.
- Conduct research and data analysis to support decision-making, evaluate program effectiveness, and guide program development.
- Coordinate project integration, establish timelines, monitor progress, and maintain communication with stakeholders.
- Manage and update the program website, including serving as the point of contact for upgrades and web compliance.
- Coordinate logistics for seminars, workshops, training activities, and the annual meeting.
- Provide comprehensive operational and administrative support, including task prioritization and professional development program data tracking.
5% of Time the Core Administrator must:
- Perform other duties as assigned.

- Ability to maintain a high level of accuracy and attention to detail.
- Knowledge of data management principles and database/registry maintenance.
- Ability to maintain professional, respectful communication and work collaboratively with colleagues and stakeholders in a variety of roles.
Minimum Qualifications:
Bachelor’s Degree or equivalent plus 5 years experience.
Preferred Qualifications:
- Familiarity with clinical or translational research environments.
- Experience in the comprehensive management and administration of research grants.
- Proficiency with virtual meeting platforms (e.g., Zoom)
Salary and Benefits:
