The opportunity:
Reporting to the AVP, Central Overlay Group Ops, the Coordinator, Wealth Products will leverage strong communication skills to provide exceptional and timely administrative support to Advisors and their Associates. As a main point of contact for the Wealth Products team, the successful candidate will play an integral role in the Platinum Private Portfolio product offering, supporting and advancing this key product.
The Coordinator, Wealth Products will be responsible for composing up-to-date operational guides related to discretionary trading and support. Additionally, they will be crucial in facilitating interactions with the products team, central overlay group, transformation office, Business Analysts and other business units. The role also involves servicing Investment Advisors on the platform with a white-glove experience, ensuring their needs are met with the highest level of attention and care. This position requires a high level of detail orientation, financial acumen, and agility.
Key responsibilities include:
- Operational Work
- Serving as subject matter experts on the operational aspects of Wellington-Altus platforms, including Advice Based, Advice+ Managed, Platinum Private Portfolios, and Crescent Separately Managed (SMA), ensuring smooth transitions and accurate coding on firm accounts.
- Acting as liaisons between investment advisors (IAs) and third-party vendors, such as SMA, and internal teams such as Central Overlay Group and Envestnet teams, facilitating effective communication and resolving operational issues.
- Completing research and provide timely and accurate responses to inquiries from IA teams and staff, including handling trading queries, service requests, and assessing or mitigating operational errors on discretionary platforms.
- Processing account setups in internal systems, including coding accounts appropriately on Thomson systems, maintaining and adjusting account configurations, and implementing quality checks and controls on various processes.
- Providing comprehensive data reports, extracts, and auditing services for departments like Documentation, Advent Support, vendors, Fees, and Data teams, ensuring data integrity and accuracy across platforms.
- Collaborating closely with the Fees department to manage and process closing fees on accounts and oversee platform performance while resolving issues.
- Supporting IA teams in operational aspects, addressing inquiries, processing corrections, and ensuring compliance with regulatory requirements and data accuracy.
- Liaising with custodians (National Bank Independent Network), vendors, and internal parties, striving to deliver exceptional service to advisory teams while maintaining efficient operations.
- Developing as a Specialist
- Educating team members on Wealth Products operations and platform functionalities and conduct regular training sessions for team members and other departments to ensure effective platform usage and updates.
- Collecting, validating, and monitoring trade data, assessing and correcting from a service and control perspective to maintain high standards in platform operations.
- Researching, gathering, and examining data to develop valuable insights and provide solutions for process improvements, supporting business development efforts with operational expertise.
- Evaluating and implementing technology solutions to enhance platform operations, preparing and presenting operational performance reports to senior management while also being engaged in platform-related projects.
- Developing and maintaining relationships with internal and external stakeholders, collaborating seamlessly with business lines, custodians, third-party vendors, and advisory teams to facilitate efficient operations and foster a collaborative, innovative team environment.
- Communicate effectively on similar subjects to various stakeholders, adapting communication styles as needed to ensure clarity and effectiveness in interactions.
- Project Work
- Participating in and managing projects requiring platform expertise, working closely with other departments and vendors to improve processes, add value, and handle ad hoc projects upon request and approval.
- Coordinating with IT for system updates, testing, and troubleshooting, and assist in PPP Repatriation projects by focusing on smooth transitions and asset repatriation.
- Preparing detailed project documentation and reports to track progress and outcomes, supporting reporting requirements for the operational business unit and maintaining periodic communication with senior management.
- Providing service support to the internal teams, addressing needs and contributing to overall business objectives.
- Performing other duties as assigned, including work related to Envestnet, Advisor Connect, and any additional project work that meets the business needs.

The ideal candidate will possess:
- A bachelor’s degree or diploma in Business Administration, Accounting, Finance, Economics, or a related field of study is an asset.
- Experience of one or more years in a wealth management firm, financial operations company, or retail banking environment is required.
- 1+ years’ experience in a customer/client-service facing role. Equivalent combination of education and experience may be considered.
- High proficiency in Microsoft Office programs, especially Excel, along with excellent problem-solving skills. Excel acumen can be a combination education and experience.
- CSI or IFIC Certification is an asset.
- High-level Excel acumen is required.
- Proficiency with the MSOffice suite, including Word, PowerPoint, Teams, and Outlook.
- Highly desired system requirements include experience with Envestnet, Kyndryl, Netrep, and/or Croesus.
- Demonstrate a high level of accountability, reliability, adaptability, and innovation in accomplishing day-to-day work and long-term goals.
- Demonstrate a high level of proficiency in Microsoft Office programs, with expertise in Excel.

Compensation & Benefits:
Range $47,500.00 - $51,371.00 annually.
This range represents Wellington-Altus's expected range of compensation for this position. Actual compensation will vary and will be based on various factors, such as location, skills, experience, and qualification for the role. Compensation for part-time roles will be pro-rated based on number of hours regularly worked.
Wellington-Altus's total compensation package for employees may also include discretionary bonuses as well as other perks and rewards. Wellington-Altus also offers health insurance, accident and life insurance, and other unique benefits per location.
