We are seeking a full-time professional to coordinate processes, projects, special events, and provide administrative services leadership. This position will support several areas including the Provost’s Business Office, Academic Unit Review, Vice Provost Academic Analytics, UC Rising Leaders, Emeriti Association, and UC UPRISE. The position will be in-person, but following onboarding and training, some work location flexibility is possible. Professional development is a core value, and this role provides a pathway for growth in team leadership, along with opportunities to collaborate cross-functionally with senior stakeholders.

Essential Functions

  • Process orders for IT – Computer equipment, etc. needed for Provost units
  • Coordinate Parking Services, ID badges for office, as well as other Public Safety issues.
  • Order office supplies, keys, business cards.
  • Coordinate signage, off-site storage needs.
  • Coordinate maintenance requests, receive facilities management emergency notices.
  • Manage and coordinate works of art with the UC Art Collection.
  • Initiate purchase orders and create contracts in the ESM contract management system for Provost’s office (and supporting units).
  • Coordinate travel arrangements, reimbursements and related meeting requirements.
  • Schedule, coordinate and support logistics for meetings as needed.
  • Manage and support projects using a variety of technologies with focus on quality and accuracy.
  • Coordinate and maintain processes for ongoing projects, compile reports and create presentations.
  • Provide leadership by serving as a unit resource, consultant and liaison for directors and administrators within designated unit.
  • Assist administrator with analyzing and interpreting data and other related activities.
  • Research, develop, edit and prepare documents and reports.
  • Manage all aspects and agendas for special events, including coordinating special speakers, visitors, and workshops to ensure compliance with state regulations and university policies and procedures and established service standards.
  • Represent the university in a positive manner and attend meetings/conferences as needed.

Required Education

  • Bachelor’s Degree
  • Five (5) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.
