Job Description

The Technical Operations Coordinator supports marine surveying operations by coordinating surveyor schedules and documentation to ensure safe, timely, and high-quality survey delivery. This role acts as the operational hub between clients, surveyors, vessel crews, and internal teams, resolving operational issues and enabling surveyors to focus on technical inspection and reporting. Individuals provide high-level, professional secretarial/administrative support for the team while being client and service-oriented.

What You Will Do:

  • Coordinate daily/weekly deployment of surveys to ABS surveyors based on project requirements, availability, and location.
  • Monitor project timelines and communicate updates, delays, or scope changes to clients and internal stakeholders.
  • Liaise with clients, vessel masters, port agents, and local contacts to arrange surveys.
  • Maintain accurate operational records.
  • Utilizes various systems for operational tasks such as Survey Reporting Tools, Power BI, and SharePoint.
  • Takes initiative to handle routine and semi-routine matters, making appropriate decisions or escalating when necessary to keep operations running smoothly.
  • Ability to simultaneously handle multiple assignments and prioritize workload accordingly.
  • Prepare quotations for clients (including ABS offices) for remote survey services, ensuring accurate scope, pricing, and turnaround estimates.
  • Follow up on accounts receivable/client payments related to Cash-in-Advance requests, coordinating with responsible office as required to secure timely payment using ABS internal systems.
  • Create credit memos as needed, ensuring appropriate approvals, accurate documentation, and communication in accordance with ABS policy.
  • Other duties as assigned by their direct supervisor or manager.

What You Will Need:

Education and Experience

  • A minimum of High School diploma required; college degree preferred
  • 2 or more years of experience in the industry is preferred.

Knowledge, Skills, and Abilities

  • Demonstrated ability to interface with various levels of personnel.
  • Ability to work independently.
  • Proficient in Microsoft programs, especially Power Bi, Excel, SharePoint, and Word.
  • Excellent communication (written and verbal) and stakeholder-management skills for virtual coordination across international teams.
  • Strong organizational and time-management skills with ability to manage multiple concurrent remote projects.
  • Cultural sensitivity and ability to interact professionally with international clients and crews.
  • Basic financial literacy for preparing quotations, following up payments, and creating credit memos.
  • Experience preparing quotations, cost estimates, or proposals preferred.
  • Familiarity with marine survey processes and common inspection activities (cargo, hull, machinery, certificates), and how these translate to remote inspection techniques preferred.
  • Complete knowledge of ABS services offered.
  • Proven organizational skills in planning and scheduling work.
  • Basic understanding of administration including client billing, maintaining accurate time sheets, and office procedures.
  • Solid understanding of current business climate and how it is expected to affect both current and future work loads.

Reporting Relationships:

Reports to a Manager, Director or Executive level position.
