Job Summary:

The Talent Acquisition Operations Coordinator plays a critical role in delivering a seamless and compliant pre-onboarding experience for new hires across Carnival Corporation’s North America brands and business units. This role leads the coordination of pre-onboarding activities, ensuring communication between candidates, hiring managers, and internal stakeholders such as IT, Identity Access Management, HR Technology and various third-party vendors. The coordinator ensures that each new hire receives the appropriate onboarding experience tailored to their employment status and transition type—whether transferring internally, returning to the company, transferring locations, or relocating internationally.

Key responsibilities include reviewing employment eligibility documentation, including background checks, OFAC reports, and escalating to the Supervisor or Manager when discrepancies arise. Ensuring all new hires have cleared the necessary task and can be certified as ready for day one processing.

Additionally, the role contributes to the overall success of Talent Acquisition in various capacities including processing documentation, workflow optimization, and provides task related support across various Talent Acquisition functions.

Key Accountabilities / Job Functions:

  • Process tickets and serve as the main communicator between candidates, hiring managers, and internal stakeholders such as IT & Identity Access, onboarding some third-party vendors to facilitate the process timely. Referring candidates to other teams for processing where necessary.
  • Launch the pre-onboarding process for each new hire. Commuicate details to stake holders based on predetermined workflows - such as whether they are returning to the company, transferring between locations, or relocating internationally.
  • Initiate and review criminal background checks, employment verifications, OFAC Reports and other documentation necessary for initial employment. Escalate situations where pre-adverse action is needed, setting follow up task as appropiate.
  • Initiate section one of I-9 documentation for new hires, taking prompt action to ensure all pre-hire task are complete no later than 3-5 business days prior to anticipated start date. Escalating to the Supervisor where necessary.
  • Provide additional operational support to other TA functions where needed including Internal Auditing, Vendor Relations, TA Marketing, Contractor Management.
  • Work on continual process improvement including ways to leverage AI and automote to help auomate task associate with their daily work.
  • Ensure Candidates that require Immigration and or Relocation support are referred to Global Mobility for processing and update stake holders where applicable.
  • Performs other duties as assigned.

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred
  • 2-3 years of experience in talent acquisition, HR operations, or a related field
  • Experience with immigration processes and onboarding logistics is highly desirable
  • Strong organizational and project coordination skills
  • Excellent verbal and written communication
  • High attention to detail
  • Proficiency in Microsoft Office 365, ATS, HRIS, and SharePoint
  • Ability to manage multiple priorities and meet deadlines
  • Contribute to process improvement and documentation efforts
  • Must be amenable to work remotely and in EST schedule
