Responsible for coordinating all aspects of the referral process for new patients to (sub)specialty services of The Emory Clinic, beginning at the point where the TEC registration function is complete (Global Patient Registration). This role manages patient records, coordinates clinical information across teams, and ensures referrals are processed accurately and on time.

Key Responsibilities

  • Request and track patient records and prepare charts for review by a nurse navigator or other knowledgeable clinician.
  • Distribute charts and clinical data per departmental procedures, and scan records for multi-disciplinary appointments.
  • Communicate with patients and physician offices as needed to secure additional information or records.
  • Order and track outside images or specimens (e.g., pathology slides) as directed by the clinical team, and submit them for review by an Emory Clinic expert (e.g., Pathology) as applicable.
  • Assist in obtaining insurance referrals as needed.
  • Initiate and coordinate communication across departments, including financial counseling and clinical teams.
  • Schedule and pre-certify ancillary tests, multi-disciplinary appointments, or additional labs as requested by the nurse navigator.
  • Schedule or reschedule new patient appointments as necessary, following clinical review.
  • Create and manage a system for distributing clinical information to the nurse and clinical team.
  • Cross-train and cross-cover co-workers as needed.
  • Meet team goals for the number of patient referrals processed in a timely manner.

Required Skills & Competencies

  • Computer skills including IDX, Cerner PowerChart/Millennium, MS Word, and Excel.
  • Effective interpersonal and customer service skills.
  • Ability to work as part of a team.

Minimum Qualifications

  • Bachelor's degree with two (2) years of healthcare experience, OR six (6) years of experience in a healthcare environment in lieu of a bachelor's degree.

Preferred Qualifications

  • Experience in a specialty or subspecialty clinic.

Physical Requirements (Medium — Max 25 lbs)

  • Lifting 25 lbs maximum; carrying objects up to 25 lbs.
  • Up to 25 lbs occasionally (0–33% of workday); 11–25 lbs frequently (34–66%); 1–10 lbs constantly (67–100%).
  • Occasional to frequent standing and walking; occasional sitting; close eye work (computer use, typing, reading, writing).
  • Physical demands may vary depending on assigned work area and tasks.

Environmental Factors

Environmental conditions may vary by assigned work area and tasks. Exposures include, but are not limited to: blood-borne pathogens, bio-hazardous waste, chemicals/gases/fumes/vapors, communicable diseases, electrical shock, varying floor surfaces, hot/cold temperatures, indoor/outdoor conditions, latex, variable lighting, patient care/handling injuries, radiation, and shift work. Travel may be required. Use of personal protective equipment, including respirators, may be required.
