Description
Reporting to the Associate Director of Programs (for faculty advancement & engagement), the Senior Program Coordinator serves as a faculty advancement specialist focused on promoting faculty recognition, reputation, and professional visibility. This position develops and coordinates programs, processes, and initiatives that elevate faculty accomplishments and increase awareness of faculty contributions across patient care, education, scholarship, leadership, and service. The Senior Program Coordinator serves as a central resource for awards, honors, recognition programs, spotlighting initiatives, and faculty visibility efforts, partnering closely with faculty members, division leaders, departmental leadership, and communications professionals to identify opportunities and maximize faculty recognition. The Senior Program Coordinator proactively supports faculty nominations and applications for awards, distinctions, leadership opportunities, and professional recognition programs. The position also develops systems to track faculty accomplishments, maintain recognition pipelines, identify nomination opportunities, and promote faculty achievements through a variety of internal and external channels. Working collaboratively with faculty, leadership, and institutional partners, this role helps strengthen the Department's culture of appreciation and recognition while advancing faculty success and enhancing the Department's academic reputation.
KEY RESPONSIBILITIES
- Designs, implements, and coordinates operational facets of a specific program.
- Develops strategic plans and objectives that ensure the program's continued success, and develops evaluation methods to assess outcomes.
- Conducts program research and ensures that the preparation of mandatory operational, statistical, and financial reports are accurate and factual, and that all reports comply with federal and state regulations and/or institutional policies.
- Designs training programs and materials, conducts training sessions, and represents the program at various conferences, meetings, or seminars.
- May plan, administer, or monitor the program's budget and/or grants, and conduct financial forecasting for the program.
- May develop fundraising programs, including researching and identifying funding sources, and writing and submitting grant proposals.
- Serves as a liaison to and interacts with other groups and organizations participating in the program or seeking knowledge of the program; may write and present speeches.
- Maintains complete and accurate program records.
- May serve on or chair various University committees.
- May supervise program staff, interns, and/or volunteers.
- Performs related responsibilities as required.
ADDITIONAL JOB DESCRIPTION:
- Serves as the primary coordinator for faculty awards, honors, distinctions, and recognition programs across the Department.Identifies, monitors, and communicates award, recognition, leadership, and nomination opportunities relevant to faculty career stages, academic interests, and professional accomplishments.
- Partners with faculty members, division leaders, and departmental leadership to develop, coordinate, and submit competitive nomination packages for internal and external recognition opportunities.
- Maintains systems for tracking faculty achievements, honors, appointments, awards, publications, leadership roles, and other notable accomplishments.
- Coordinates faculty spotlighting, recognition, and visibility initiatives that highlight faculty contributions and successes.
- Collaborates with departmental communications staff and institutional partners to promote faculty accomplishments through websites, newsletters, social media, publications, presentations, and other communication channels.
- Develops reports, dashboards, and summaries related to faculty recognition activities, outcomes, and trends.
- Assists with faculty biography development, accomplishment summaries, nomination materials, and supporting documentation.
- Coordinates recognition-related events, programs, and special initiatives that celebrate faculty achievements and contributions.
- Builds relationships with faculty, administrators, and institutional partners to strengthen awareness of recognition opportunities and advance faculty success.
MINIMUM QUALIFICATIONS
- A bachelor's degree in a field related to specified program areas and five years related program management experience, or an equivalent combination of experience, education, and training.
PREFERRED QUALIFICATIONS
- Strong writing, editing, and storytelling skills, including experience developing nomination packages, biographies, profiles, or promotional materials.
- Knowledge of academic promotion systems, faculty career pathways, professional societies, or academic medicine preferred.
- Demonstrated ability to build collaborative relationships and work effectively with faculty, leaders, and institutional partners.
- Additional preferred qualifications include experience in one or more of the following areas:
- Collaborating with communications, marketing, public relations, or stakeholder engagement teams.
- Working in an academic medical center, higher education institution, healthcare organization, or faculty affairs environment.
- Supporting faculty advancement, academic administration, recognition programs, communications, or professional development initiatives.
