Overview

The People Team at HarperCollins Publishers leads our people strategy and recruitment across North America. We are seeking a Coordinator, People & Recruiting to support the Vice President, People and the Talent Acquisition team, primarily focused on HarperCollins Christian Publishing (HCCP) with the flexibility to support HarperCollins Publishers as business needs evolve. This role will coordinate People team processes, recruitment, and onboarding while supporting employees, candidates, hiring managers, and People team partners.

Responsibilities

Build trusted relationships with employees, candidates, hiring managers, People partners, and cross-functional teams through responsive communication and reliable follow-through.

People Process Support

  • Provide administrative and project coordination support to the Vice President, People across the employee lifecycle, including preparing and maintaining documentation, coordinating meetings and timelines, and tracking follow-up actions.
  • Coordinate recurring People processes and initiatives, including performance management, talent planning, employee engagement, organization changes, and other divisional People team priorities.
  • Support employee relations and performance management processes by coordinating meetings, maintaining accurate and confidential documentation, and tracking required actions and deadlines under the direction of the Vice President, People.
  • Respond to routine employee and manager questions, connect stakeholders with the appropriate People team resources, and escalate sensitive or complex matters promptly.
  • Handle sensitive employee and business information with professionalism, discretion, and strict confidentiality.

Recruitment

  • Create and post open roles on company career pages, LinkedIn, and relevant industry-specific job boards.
  • Coordinate complex, high-volume interview schedules across multiple stakeholders, balancing competing calendars and priorities and managing onsite logistics as needed to deliver a seamless candidate and hiring manager experience.
  • Serve as the primary point of contact for candidates throughout the recruitment process. 
  • Provide timely updates and feedback to candidates and hiring managers. 
  • Ensure compliance with company policies and employment laws throughout the recruitment process. 
  • Prepare and track offer letters and other new hire documentation. 
  • Coordinate all operational aspects of HCCP campus recruiting and internship programs, including event logistics, catering, technology setup, program materials, onboarding, and stakeholder communications.
  • Manage the team’s shared inbox in collaboration with the New York-based coordinator, ensuring inquiries are routed appropriately and addressed in a timely manner.
  • Track all aspects of the recruitment process, including referral management. 

Onboarding 

  • Oversee the onboarding process for full-time employees and interns, including background checks, required documentation, pre-start preparations (equipment, systems access, workspace setup, and security access), and orientation.
  • Act as a point of contact for new hires and hiring managers, addressing any questions or concerns they may have during their onboarding period. 
  • Provide support to new employees in navigating company systems, policies, and procedures. 

Qualifications

  • At least two years of experience supporting human resources processes, recruitment coordination, onboarding, or a related function.
  • Proficiency in Microsoft Office Suite and applicant tracking systems (ATS); preferably ICIMS. 
  • Strong administrative and project coordination skills, with the ability to manage detailed workflows accurately and consistently.
  • Excellent communication, relationship-building, organizational, and interpersonal skills, with exceptional attention to detail.
  • Ability to multi-task/prioritize responsibilities, manage time effectively, and adapt to changing priorities in a fast-paced environment 
  • Proactive, solutions-oriented mindset with the judgment to identify inefficiencies, recommend improvements, and support effective implementation.
