Reporting to the Manager of Infrastructure Management Services, you will provide support, coordination and advice to the Enterprise Services and Operations management and staff on work plan and priorities, customer service improvement, financial controls and compliance, service-based operating and capital budgets, management reporting, performance management and metrics, business process improvements, and project planning and development.


As a Coordinator Operational Support, you will liaise between Enterprise Services and Operations managers including Finance & Contract Management, other Technology Services sections, client divisions and corporate partners (Financial Planning, Payroll and People & Equity) in the area of technology infrastructure planning, development, sustainment, budget management, staff complement management and service management.

Major Responsibilities:

Your primary responsibilities as a Coordinator Operational Support will be varied. Specifically, you will:

  • Implements detailed plans and recommends policies/procedures regarding program specific requirements.
  • Supervises, motivates and trains assigned staff, ensuring effective teamwork, high standards of work quality and organizational performance, continuous learning and encourages innovation in others.
  • Supervises the day to day operation of all assigned staff including the scheduling, assigning and reviewing of work. Authorizes and coordinates vacation and overtime requests. Monitors and evaluates staff performance, approves salary increments, hears grievances and recommends disciplinary action when necessary.
  • Provides input into and assists with monitoring of operating and capital budgets, ensuring that expenditures are controlled and maintained within approved budget limitations.
  • Drafts documentation to support the delivery of work packages such as business plans, business risk/issue management plans/logs, business requirements, project charters, procurement documents, cost tracking, schedules, status reports, communication plans, reports and presentations.
  • Provides direction and guidance to functional teams. Coordinates, in conjunction with Technology Services and client staff, work activities, communication, administration, planning, writing, and monitoring.
  • Prepares business cases, feasibility (including economic, organizational, operational, technical impact) studies, project charters/plans, business/functional/technical requirements, design documents, training strategies/plans and user documentation.
  • Prepares reports and other necessary documentations for the Unit Manager, Project Managers and Section Director making recommendations on decisions, budgets, staffing levels and resource allocation.
  • Prepares and monitors budgets, taking action on issue and risk management pertaining to business expenditures.
  • Develops and maintains work schedules and plans using work management tools (such as MS Office).
  • Documents meeting minutes and distributes communications.
  • Implements and maintains processes such as issue management, change management and risk management.
  • Facilitates collection of business requirements and builds consensus amongst clients on accomplishment of deliverables.
  • Liaises and co-ordinates with internal and external groups on accomplishment of deliverables.
  • Assists with the evaluation, selection and recommendation of technical solutions and professional services and manages vendors and contractors in the overall solution delivery process.
  • Prepares various formal contractual documents such as Request for Information/Proposal/Quotation (RFI/P/Q), Statement of Work (SOW), Memoranda of Understanding (MOU) and Service Level Agreements (SLA).


Key Qualifications:

  1. Post-secondary education in Business Administration, Computer Science or a related discipline or the equivalent combination of education and/or experience.
  2. Considerable experience with administrative processes related to organizational change and Technology Services Procurement, including Technology Services business processes, project management, project gating, vendor management, customer service, Human Resources functions, and performance management.
  3. Considerable experience in completing financial analysis, cost model and clearly documenting and communicating the findings and outcomes.
  4. Considerable experience working with large datasets for detailed system analysis that will evaluate trends, forecast outcomes and inform decisions.
  5. Considerable experience preparing various formal contractual documents such as Request for Information (RFI), Request for Proposal (RFP), and Request for Quotation (RFQ), Statement of Work (SOW), Memoranda of Understanding (MOU) or Service Level Agreements (SLA).
  6. Considerable experience in coordinating management response and tracking status updates on Technology Services audit recommendations.
  7. Experience preparing business cases and conducting feasibility studies (including economic, organizational, operational, technical impact)
  8. Proficiency in using MS Office tools including Excel, Visio and PowerPoint at an advance level.
  9. Excellent communication, relationship management, presentation and project management skills are required as well as the ability to manage multiple competing priorities and complex, fast-paced technology projects.
  10. Strong interpersonal, relationship management, effective stakeholder management skills
  11. Strong analytical and problem solving skills with the ability to maintain, assess and review data
  12. Strong organizational skills with the ability to work within tight deadlines and prioritize competing service requests under severe time constrains.
  13. Familiar with governance structures and working within the governance protocols.
  14. Knowledge and experience of SAP Modules and S/4 Hana would be considered an asset
