POSITION TITLECoordinator, Office of Technology Development - Temporary Assignment (3-6 months)

Supports the Office of Technology Development through administrative coordination of technology disclosure and agreement processes, including record maintenance, inbox and file management, data entry, portal support, and documentation tracking across Inteum, SharePoint, and related systems to promote accuracy, organization, and timely workflow completion.

RESPONSIBILITIES AND DUTIES:

  • Logs Technology Disclosures in database, reviews submissions for completeness, and sends acknowledgement emails.
  • MTA/CDA/OTD inbox
    • Organizes and maintains agreement-related emails, folders, and records in shared inboxes.
    • Routes actionable items to appropriate team members and responds to routine status inquiries.
    • Maintains agreement files based on status.
    • Reviews and directs emails from OTD inbox to be addressed by appropriate team members.
  • SharePoint
    • Creates and maintains agreement folders and related documentation in central folders.
    • Uploads portal intake sheets, drafts, redlines, and other agreement materials.
    • Organizes agreement records based on current status
  • Database
    • Reviews portal requests for completeness, requests additional information as needed, and approves routine submissions.
    • Completes and updates agreement records in database, including links to related company, contact, and tech records.
    • Follows up on pending or expiring agreements, and processes Docusign agreements and amendments.
    • Cleans and organizes active and legacy agreement records to ensure accuracy, completeness, and ongoing usability of data.
    • Assists with training and troubleshooting
  • Ensures regular monitoring and updating of the intranet and internet page(s) through uploading training materials, revising FAQs, etc.
  • Provides administrative support for projects as needed.

REQUIREMENTS:

  • High school diploma required.
  • Some experience in administrative support, office coordination, records management, or data entry preferred.
  • Demonstrated attention to detail, organization, and accuracy in maintaining records and documentation.
  • Ability to manage multiple priorities, follow established procedures, and complete tasks with minimal supervision.
  • Effective written and verbal communication skills.
  • Basic proficiency in Microsoft Office applications and willingness to learn internal systems and databases.
  • Ability to maintain confidentiality and exercise professionalism in handling sensitive information.
  • Ability to work effectively as part of a team and provide responsive support in a service-oriented environment.
  • This is an on-campus position requiring 4 days per week working onsite from our La Jolla campus, with flexibility to work 1 day per week remotely from home. This position is not eligible for benefits.

COMPENSATION:

The expected hiring range for this position is $23.00 to $26.00/hourly, commensurate with experience. Consideration will be given to experience that exceeds the listed requirements.
