We are seeking a highly organized Coordinator II to support the Cardiac Surgery Department. In this role, you will triage and process incoming referrals that require further review and clarification to ensure appropriate routing and timely scheduling. You will oversee project activities within the department, ensuring organization and workflow, and play a critical role in creating an environment that allows the team and fellow caregivers to work efficiently and cohesively. The ideal candidate is detail-oriented, proactive, and skilled at managing multiple priorities while supporting high-quality patient care.

A caregiver in this role works days from 8:30 a.m. – 5:00 p.m.

A caregiver who excels in this role will:

  • Coordinate department project activities by distributing reports, facilitating analyses and reporting information.

  • Develop department resource databases to facilitate management of various project activities.

  • Coordinate department scheduling of individuals, resources and activities.

  • Collect, maintain and report information for the department such as patient information, budgets, caregiver PTO and schedule.

  • Function as a department liaison.

  • Assist with performance evaluations, counseling and onboarding of new caregivers.

  • Perform duties related to the preparation, implementation and analysis of special studies and projects.

  • Maintain office supplies and equipment.

  • Review incoming referrals from all sources (fax, EMR, phone, etc.) when documentation is incomplete or lacks a clear destination.

  • Clarify missing clinical or administrative information by contacting referring providers or offices and reviewing available records.

  • Triage each referral appropriately by determining whether the patient should be directed to cardiac surgery, cardiology, another specialty, or a specific surgeon.

  • Enter and update patient referrals in the system accurately and efficiently.

  • Coordinate next steps for each referral, including scheduling consultations or routing patients to the appropriate clinical team.

Minimum qualifications for the ideal future caregiver include:

  • High School Diploma or GED

  • Three years of experience coordinating and assisting with management functions and special projects

  • Proficient with spreadsheets, word processing and database software

Preferred qualifications for the ideal future caregiver include:

  • Computer skills – Word, Epic, Excel, Outlook, etc.

Physical Requirements:

  • Ability to perform work in a stationary position for extended periods

  • Ability to operate a computer and other office and laboratory equipment

  • Ability to travel throughout the hospital system

  • Ability to communicate and exchange accurate information.

  • Follows standard precautions using personal protective equipment as required.
