Coordinator, HR – Learning & Capability Development (External)

The Organization Development (OD) team, within Human Resources, is responsible for designing and delivering enterprise‑wide development experiences that support the growth of our associates and the organization.

The Coordinator, HR is responsible for the end‑to‑end coordination, execution, and operational support of enterprise development events and programs. This role serves as a central execution partner to OD Managers and Program Leads, ensuring programs are delivered accurately, consistently, and on schedule across the organization.

This role requires strong attention to detail and the ability to manage multiple programs concurrently, often at different stages of planning, enrollment, delivery, and follow‑up. The Coordinator operates with routine direction and is expected to execute established workflows, verify requirements, and proactively resolve issues while partnering closely with the Sr. Coordinator, OD Managers, and Program Leads.

Core Responsibilities

Program & Class Execution

  • Coordinate and execute assigned enterprise development programs and classes in alignment with established team processes.
  • Manage full program lifecycles including scheduling, enrollment, logistics, materials, room setup, on‑site support, and post‑session follow‑up.
  • Support multiple classes running simultaneously, including overlapping preparation and delivery timelines.
  • Provide strong customer service to internal customers and external vendor partners.

Vendor, Financial & Contract Operations

  • Own invoice processing, budget tracking, and spend monitoring for assigned programs, in partnership with the Sr. Coordinator, OD leadership, and Finance as needed.
  • Verify contract terms, system guidance, and vendor structures prior to initiating payment actions.
  • Populate and route standard vendor agreement templates and renewals based on annual operational needs and updated contract terms.
  • Maintain accurate budget tracking and alignment with the Sr. Coordinator.

Learning Systems, Data & Reporting

  • Administer learning systems and tools (e.g., LMS, registration platforms, evaluation tools), including class setup, rosters, pre‑work/post‑work, evaluations, and reporting.
  • Maintain and report on attendance, trends, evaluation metrics, and other program data as needed.
  • Utilize established data tools and learning systems to support tracking, reporting, communication workflows, and operational efficiency.

Administrative & Operational Support

  • Manage scheduling and meetings.
  • Coordinate food, materials, and room logistics for in‑person and virtual sessions.
  • Serve as backup support for managing the Associate Development Center.
  • Assist with additional projects and operational needs as assigned.

Role Expectations

  • Operate with limited day‑to‑day oversight once priorities and expectations are established.
  • Verify requirements, contracts, and system guidance before taking action.
  • Maintain clear ownership and accountability for assigned work.
  • Proactively surface risks, issues, or downstream impacts.
  • Deliver accurate, complete work with a focus on quality and consistency.

Qualifications & Experience

  • Bachelor’s degree or equivalent experience.
  • Proficiency with Microsoft 365 tools (Outlook, Excel, Teams, SharePoint); experience using Microsoft Power Platform tools (e.g., Power Automate, Power BI, Forms) is a need to have.
  • 1-3 years of experience in program coordination, learning operations, HR operations, or a related role.
  • Demonstrated ability to manage work independently, prioritize competing demands, and deliver accurate results with appropriate guidance and partnership.
  • Experience coordinating vendors, managing invoices or budgets, and supporting contract‑based work.
  • Comfort managing multiple programs or events simultaneously in a fast‑paced environment.
  • Strong communication skills and a customer service mindset when working with internal partners and vendors.

Please note this contract position provides services to Nestlé in the USA on a temporary basis in connection with a specific assignment. Contractors in this position are hired and employed through Nestlé’s third-party staffing partner.
