About Us:

At the forefront of medical discovery as it relates to understanding the causes of obesity, diabetes, cardiovascular disease, cancer and dementia, Pennington Biomedical Research Center is a campus of Louisiana State University and conducts basic, clinical and population research. The Center includes Basic Science, Clinical Research, and Population and Public Health, enabling both focused research and translational science. Research at Pennington Biomedical is supported broadly by multiple NIH Research Centers, and includes approximately 65 faculty and 20 postdoctoral fellows who comprise a network of 44 laboratories and 13 highly specialized core service facilities. Pennington Biomedical is located within state-of-the-art research facilities on a 222-acre campus in Baton Rouge, Louisiana.

Pennington Biomedical Research Center, a world-renowned academic research institute of Louisiana State University, is seeking a Coordinator of Facility Operations in Facilities Management.

The coordinator provides day-to-day operational responsibilities for facility support services, campus operations, and property management functions across the 222-acre campus. This position is responsible for purchase requests, bid requests, invoices, expense reports, fleet usage, data management, and other duties as assigned.

Pennington Biomedical is located within a state-of-the-art research facility which consists of 11 major buildings, including 44 laboratories and 13 highly specialized core service facilities, and over 750,000 square feet of working space.

Major Responsibilities

  • Serve as the primary point of contact for the Facilities Department, providing exceptional customer service to internal and external stakeholders. Receive, respond to, and process telephone, email, written, and walk-in inquiries regarding facilities operations, maintenance requests, building access, space utilization, and general departmental services. Route requests to the appropriate personnel and ensure timely follow-up and resolution.

  • Coordinate the organization's fleet vehicle program by processing vehicle reservations, maintaining fleet schedules, tracking vehicle usage, and ensuring accurate vehicle logs are completed. Coordinate routine maintenance, repairs, inspections, registrations, and fuel records to ensure fleet vehicles remain safe, compliant, and operational.

  • Maintain and monitor defensive driving certification records for all employees authorized to operate state-owned or leased vehicles. Track training completion and expiration dates, notify employees and supervisors of upcoming renewals, maintain compliance documentation, and ensure adherence to state and institutional driving policies.

  • Process and coordinate facilities work orders through the computerized maintenance management system. Review requests for completeness, prioritize and assign work as appropriate, monitor work order status, communicate with requestors regarding progress, and ensure accurate documentation of completed work.

  • Maintain departmental records, files, and databases related to facilities operations, fleet management, work orders, vendor services, and compliance requirements, ensuring information is accurate, organized, and readily accessible.

  • Prepare routine correspondence, reports, spreadsheets, and other administrative documents related to facilities operations.

  • Support departmental purchasing activities by preparing purchase requisitions, tracking invoices, maintaining service agreements, and assisting with budget documentation in accordance with institutional procurement policies.

  • Perform other administrative and operational support duties as assigned to ensure the efficient and effective operation of the Facilities Department as assigned.

Required Qualifications

  • Bachelor’s degree* in Facilities Management, Construction Management, Business Administration, Engineering, Industrial Technology, Public Administration, or a related field.*

  • Three to five years of progressively responsible experience in facilities operations, facilities coordination, maintenance administration, building operations, or a related operational support role.

  • Experience coordinating work orders, preventive maintenance programs, or computerized maintenance management systems (CMMS).

  • Experience providing administrative support in a facilities, operations, maintenance, construction, or property management environment.

  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.

  • Valid driver's license and eligibility to operate state-owned vehicles in accordance with institutional policies.

Preferred Qualifications

  • Experience complex institutional facilities, coordinating fleet operations, vendor services, building access, space management, or maintenance contracts.

  • Knowledge of preventive maintenance practices, building systems, OSHA safety requirements, and applicable regulatory compliance.

  • Experience with purchasing, budgeting, invoice reconciliation, and contract administration.

  • Experience in preparing operational reports, analyzing facilities data, and recommending process improvements.
