Job Description

The Facilities Coordinator maintains a clean and safe work environment for the buildings, responsibilities include actions related to building maintenance. This includes, but not limited to; overseeing general maintenance, contractor oversight, site safety, site security, landscaping services, shipping/logistics support, and other duties. This position includes a mix of manual labor and oversight of vendors and contractors who provide facilities related services.

This position is 100% onsite at our Southington, CT manufacturing facility.

Essential Duties & Responsibilities

  • Work with outside service vendors and contractors to ensure work is completed according to specifications (HVAC, Landscaping, Moving, Vending, Plumber, etc.)
  • Assist the Facilities Manager in all aspects of Building project and pick up supplies and materials as needed
  • Facilitate bid process when required for facility projects (construction, consulting, new service provider, etc.)
  • Create purchase requisitions in Oracle for Facilities
  • Coordinate all site safety requirements (emergency evacuations, AED first aid, HAZCOM)
  • Inspect and document all safety and facility equipment
  • Act as an administrator for security system and manage badge requests/access
  • Perform facilities related duties which include but are not limited to:
    • Inspect and document all safety and facility equipment
    • Assist in building projects and pick up supplies and materials
    • Maintain inventory levels for all first-aid stations, coffee machines and janitorial supplies
    • Relocation of office furniture and cubicle/workstation set-up or breakdown
    • Replace light bulbs and Ballasts
    • Hang artwork, whiteboards, monitors
    • Assemble shelving and related equipment
    • Coordinate and set up conference and/or training rooms
    • Move furniture
    • Work on special projects as they arise
  • Manage and maintain company vehicle fleet
    • Coordinate vehicle maintenance per manufacturer’s recommended schedules and maintain maintenance records
    • Ensure that company vehicle fuel levels are topped-off
    • Maintain cleanliness and readiness of company vehicles
    • Managing vehicle reservation schedule
  • Maintain warehouse in a neat and orderly manner and in compliance with corporate policies, procedures and C-TPAT requirements
  • Collect, package and process all mail and packages out of the San Clemente facility
  • Receive, record and process all shipments into the San Clemente facility
  • Conduct material handling activities for R&D and Product Configuration
  • Maintain accuracy of R&D and Product Configuration inventories
  • Conduct all related inventory transactions of warehouse inventories for R&D and Product Configuration

Knowledge, Skills & Qualifications

  • Ability to speak, read and write English required
  • Ability to speak read and write Spanish a plus
  • Must be able to perform basic math calculations and navigate through complex computer programs accurately
  • Must have strong verbal and written communication skills
  • Must be able to work with minimum supervision
  • Must be able to work in a fast paced environment
  • Current forklift certification
  • Proficient in Word, Excel, and Outlook

Education and Experience

  • Must be 18 years of age
  • High School diploma or GED equivalent
  • Minimum 2 years of warehouse, materials handling, mail room, and/or facilities experience
  • CMMS experience preferred

Physical Requirements and Work Environment

  • The work environment is partially in an office setting, requiring frequent data entry and telephone use
  • Must be able to work safely around heavy equipment in a fast-paced environment.
  • Must be able to lift 80 lbs.
  • Typically requires travel less than 5% of the time
