Hiring Salary Range : $ 76,000.00 - 86,000.00
This range represents the hiring range. Salaries are determined individually depending on skills and experience. You will also be eligible to an annual bonus, employee share investment program (ESIP), Pension, Benefits, Railroad Retirement Benefits (RRB) and other perks.

The role is responsible for providing administrative support to the United States (U.S.) Engineering leadership team. The incumbent supports all trades that fall under the Engineering function, including Signals and Communications (S&C), Bridges and Structures (B&S), Design and Construction (D&C), Work Equipment (WE), Track, and Production.
·Process inbound and outbound mail and invoices for payment
·Maintain and order office equipment, supplies, and Engineering Department rule books
·Support the Production team with clerical duties
·Complete all U.S. invoicing in Fieldglass, Tradeshift, and My CN Voucher (MCV)
·Complete daily rail testing accrual entries
·Process Public Works agreements
·Provide back-up support to the Business Manager Engineering and Engineering Clerks
·Provide workforce reports and support organizational structure changes
·Correct or modify employee timesheets using the CAT2 system in Systems, Applications, and Products (SAP)
·Maintain attributes for the Brotherhood of Maintenance of Way Employees Division (BMWED) using SAP PO13
·Maintain the Workforce Deployment System (WDS) and enter required data for each territory and bargaining unit
·Process BMWED division bulletins biweekly to post vacant positions and awards
·Maintain, update, and distribute seniority rosters for the Brotherhood of Railroad Signalmen and the International Brotherhood of Electrical Workers
·Respond to calls and correspondence regarding union matters and issue claim response correspondence as directed by Labour Relations (LR) and management
·Research and interpret Brotherhood of Railroad Signalmen and International Brotherhood of Electrical Workers (IC/CCP/EJE), Wisconsin Central Railroad (WC), Former Duluth, Missabe and Iron Range Railway (DMIR), and Grand Trunk Western Railroad (GTW) union agreements
·Create and distribute weekly, monthly, and annual performance monitoring, rules, and compliance efficiency test reports
·Compile information and maintain spreadsheets related to personal injuries
·Review and maintain all contracting-out notices, ensure letters are updated and distributed to the union, and schedule and attend conference calls with management, LR, and union representatives to discuss the letters
·Schedule, coordinate, and maintain training session rosters for BMWED employees
·Support recruitment activities for new employees during interview sessions
·Schedule orientation sessions for new hires and ensure employees are staffed and paid appropriately
·Submit staff actions for all personnel changes within the department
·Maintain and track Signals and Communications (S&C) organizational files, including new hires, retirements, projected retirements, resignations, dismissals, promotions, departmental transfers, and out-of-service employees
·Work with management to resolve miscellaneous Human Resources (HR) issues raised by employees
·Schedule all employee physicals (e.g., new hire candidates, return to work, Department of Transportation (DOT) medical certificates)
·Create notices of investigation and coordinate all scheduling requirements (e.g., conference room, Court Reporter, Hearing Officer)
·Coordinate with LR on violations and discipline
·Prepare investigation exhibits, including waivers of investigation and letters of discipline and dismissal, and ensure investigation documents are scanned and attached to the Performance Assessment Process (PAP) and employee eRecords
·Process letters of instruction and staff actions for employee movements and displacements for BMWED employees
·Research and process BMWED time claims using the Grievance Tracking System (GTS)
·Create and distribute Engineering Notices
·Process requests for data required by the BMWED General Chairman
The role has standard working conditions in an office environment with a regular workweek from Monday to Friday. Due to the nature of the role, the incumbent must be able to meet tight deadlines, handle pressure, and stress.
Administrative Support
·Minimum 3 years of experience in an administrative support or related role
·Between 2 and 3 years of experience in railroad or union administration*
oExperience working with management and unionized employees*

·High School Diploma or General Educational Development (GED)
·College Diploma*
·Valid Driver’s Licence

·Excellent writing, spelling, grammar, editing, and proofreading skills
·Knowledge of the Southern Region and various locations to assist in identifying the best resolution to matters that arise
·Knowledge of S&C union agreements
