
Position Title:Coordinator, Donor Relations
Status:Contract ending June 25,2027
Hiring Salary Range: $48,281 - $56,328 (To ensure fair and equitable pay at THPF, salary will be based on your years of experience, skills and qualifications relevant to the role)
Work Location: Hybrid - 1 day per week in the office at 2085 Hurontario Street with occasional work at hospital sites – Mississauga, Credit Valley Hospital and Queensway Health Centre sites.

The Donor Relations Coordinator supports the Direct Marketing team which is responsible for 13% of the Foundation gross revenue. Serving as the primary point of contact for Face-to-Face donors. Executor of pivotal conversion, upgrade and loss aversion programs to increase overall file health. Responsible for donor data input and management, tracking performance metrics, processing invoices and reconciliations, and generating monthly performance reports.
Execute conversion, upgrade, and loss aversion programs to improve overall file health
Follow up on cancellations and payment declines to retain recurring gifts or secure additional giving
Serve as the primary contact for Face-to-Face donors, managing inbound and outbound communications
Ensure exceptional donor experiences and foster long-term relationships
Triaging and capturing all donor communications in Raiser’s Edge
Respond to inquiries across all channels and resolve donor concerns
Manage acknowledgements and correspondence as required
Provide monthly reports on donor relations activities
Receive acquisition files from vendors, verify, and provide approval
Ensure files are received from vendors on schedule, flagging delays
Check for file format accuracy, returning files to vendors for corrections
Check for duplicate acquisitions and non-compliant records, suppress from files, and notify vendors of declined records
Manage invoicing, tracking, reconciliation, and reporting on program finances
Assist in other duties and special projects to further the goals of the Direct Marketing team
SKILLS & QUALIFICATIONS
Proficient in Excel with the ability to manage data files, create pivot charts, and generate comprehensive reports.
Able to work confidently in the Microsoft suite of programs – Word, Excel, Outlook, Power Point
Blackbaud - Raiser’s Edge, NXT, Luminate
PowerBI
Keen interest in donor relations, fundraising direct marketing and desire to learn and develop as a fundraiser
1+ years of relevant experience including fundraising database management, donor relations, stewardship, recognition, and annual giving
Strong writing, editing, and proofreading skills with the ability to write for different audiences and platforms
Experience with donor databases, email marketing, and social media platforms
College diploma in Fundraising, Business Administration, Communications, Marketing, or a related discipline
Work Environment
Willingness to work flexible hours and to tight deadlines as needed —some after-hours work may be required
Flexibility to work remotely with scheduled office days
Valid driver’s license and access to a reliable vehicle an asset
